Job Summary

Title: "Administrative Assistant"
Start Date: July 15, 2014
Probationary Period: 6 Months (through January 15, 2015), (no questions asked departure/dismissal)

Reporting to the Executive Director, the Administrative Assistant is responsible for assisting the company in carrying out various everyday administrative and operational duties necessary to keep the office running. This involves all data entry and organizing, processing payrolls and invoices, managing supplies, and bookkeeping. The Administrative Director is also responsible for assisting the entire staff with all such administrative duties and projects that arise on a daily basis. These duties vary from day to day and require a great deal of flexibility, as well as the ability to handle a variety of tasks in support of the company's operations.


Specific Job Duties:
1. Acquiring and maintaining detailed familiarity with all versions of the iTEP test: structure, content, platforms, revisions.
2. Managing the basic Admin functions
3. Managing all Quickbooks Online
4. Bookkeeping, processing agreements and documents, and filing
5. Some training calls and follow-ups
6. Providing customer service to users of the iTEP exams.
7. Managing general office administrative matters.
8. Maintaining accurate records of fee structures established with each client, securing payment for test ID numbers issued, and issuing test ID numbers.
9. Managing and organizing the company's hard copy and digital files, and contact management database.
10. Performing receptionist duties as may be required.
11. Preparing weekly mailings
12. Updating website (small updates)
13. Managing the physical office, including office supplies, machines, file management, and postal matters
14. Taking accurate notes at BES meetings and distributing within 48 hours to meeting participants.
15. Other duties as may be assigned.


Essential Qualifications:
1. BA or BS degree, or in process.
2. Computer literacy, including proficiency in Microsoft Office (Word, Excel, Powerpoint)
3. Good communication skills, both written and oral, and an interest in people
4. U.S. citizenship or permanent residency required as per DHS regulations.


Additional Preferred Qualifications:
1. Preferable experience in administrative duties in small, fast-paced office
2. Some basic bookkeeping experience preferred
3. Interest in education and international exchange
4. Ability to multi-task


Limits of Authority
1. Cannot sign contracts with vendors on behalf of company
2. Cannot sign checks or perform financial transactions on behalf of company
3. Cannot use internet for personal use during business hours

Compensation & Benefits
Salary: $35,000 - $40,000 annually (40 hours per week), commensurate with experience; payable at the end of each half-month pay period
Health Insurance stipend: $300 per month
Sick/Personal/Vacation: 1 paid day accrued per month. Usable upon request and availability
