We have an opportunity you don't want to pass up, supporting Global Public Relations and Social Media and getting the opportunity to interface with some of the companies C-Level Executives.
Candidate Selected will:
Executive Calendaring
* Book monthly 1:1s with key Product and Solutions Marketing VPs (E.g. Security, Collaboration, Data Center, Enterprise Networking, Service Provider, Services, Partnering)
* Book and invite attendees to quarterly GMCC announcement planning meeting, with TelePresence rooms, as required
* Book bi-annual GCC OPS Reviews and maintain attendee lists for Collaboration, Security, Data Center, Enterprise Networking, Service Provider, LatAM, Cloud, Canada PR/AR, and Industry Transformation groups
* Collaborate with other Executive Assistants to arrange Executive participation at PR/AR sponsored events (i.e. Technology Editor's Roundtable, new product launches) and manage logistics (rooms, escorts, etc.)
Executive Support
* Book flights for travel, hotels, and conference registrations, as required
* Collate receipts and file expenses related to Travel and Entertainment Amex Card
* Collate receipts and file expenses related to Purchasing Card (equipment, subscriptions, incidental business expenses) purchases
* Maintain mailer lists for Americas Communications, WW Global PR, Social Media and AR
* Book TV video studio for quarterly results analysis
* Collect and compile PR Person of the Quarter nominations
* Assist with PR Industry Award tasks
* Identify venues and negotiate contracts for external PR sponsored events (e.g. PRSA, media dinners, etc.)
People Management
* Maintain bi-weekly 1:1s with direct reports, including scheduling TelePresence systems and rooms
* Maintain bi-monthly 'skip-level' roundtable discussions with reports of direct reports, via TelePresence
* Floorplan/office space point of contact for PR/AR
* Manage PR employee recognition gift cards and other award programs such as "Wear it Proudly"
* Assist with onboarding tasks for new hires (FTEs, Contingent Workers, Interns)
* Plan and Coordinate logistics for vendor-led intact team training sessions Team Leadership
* Schedule Global PR and AR All hands meetings, with TelePresence locations, alternating between 'East' (APJC) and 'West' (Europe) time zones, including on-site catering for late-evening meetings
* Schedule guest presenters, and telepresence as required, for Global PR All Hands, in coordination with
Global PR Operations manager
* Schedule bi-weekly US/Americas PR staff meeting, including guest presenters, in coordination with Global PR Operations manager
* Organize quarterly 'fun' event for San Jose-based team, and provide creative suggestions to use the Fun Fund for staff located remotely
* Provide cross-functional administrative back-up support
