About this job

The Administrative Assistant’s responsibilities include general administrative tasks such as event coordination, making travel and meeting arrangements, gathering, documenting and preparing reports and financial data and various customer relations duties. The position requires strong analytical, as well as computer skills, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management, staff, analysts, and internal and external customers.

Essential Functions

  • Will screen phone calls and mail, answer routing questions, identify and prioritize calls and requests, and provide accurate information in a professional manner
  • Preparing and maintaining budget for department(s) with appropriate oversight
  • Manage calendar and appointments
  • Handle miscellaneous, standard and complex administrative requests per the Regional VP
  • Coordinate travel arrangements and prepare expense reports
  • Organize and maintain confidential correspondence and files
  • Manage frequent interaction with internal and external customers.
  • Using discretion when working with confidential information concerning the company, executive management and employees
  • Prepare presentations and creating and maintaining spreadsheets/reports as needed
  • Other duties as required

Knowledge, Skills and Abilities

  • Bachelor Degree in a related field preferred
  • 5+ years directly related experience
  • [Add any department specific knowledge, software, etc.]
  • Top notch customer service skills
  • Grocery retail experience a plus
  • Good writing, analytical, problem assessment, and problem-solving skills
  • Superb organizational and time management skills, as well as attention to detail
  • Knowledge of principles and practices of organization, planning, records management and general administration
  • Knowledge of the basic principles and accounting practices 
  • Ability to gather and monitor information
  • Effective written and verbal communication skills
  • Strong interpersonal skills
  • Ability to work well alone and as part of a team
  • Ability to follow oral and written instructions
  • Excellent computer skills (Outlook, Word, Excel and Powerpoint)

  • Most work is performed in a normal office environment
  • Lift and carry materials weighing up to 20 pounds
  • Operate a variety of standard office equipment including a computer, telephone, calculator, copy and fax machine requiring continuous and repetitive arm, hand and eye movement
  • Travel to/from meetings and to various locations
