Position Description:

The Optum Labs Front Desk Administrative Assitant involves greeting all guests visiting Optum Labs, providing administrative support to the Chief Medical Officer and assisting in the coordination of Optum Labs events.  The ideal candidate will be polished, professional and comfortable interacting with executive leaders and external clients.
 
Primary Responsibilities: 
  • Greeting and escorting visitors; providing tours to executives, prospective clients, partners and visiting Optum/UHG staff.
  • Maintaining front lobby of Optum Labs (general upkeep, keeping the refrigerator stocked, etc.).
  • Answering incoming calls and routing accordingly.
  • Providing support to Chief Medical Officer by maintaining calendar, scheduling travel and processing expenses.
  • Working effectively as an integral member of a team of administrative professionals for meeting and travel coordination.
  • Assisting in event planning for Optum Labs (inclusive of symposia, brownbag luncheons, training sessions, etc.).
  • Coordinating pre-event logistics (contracting vendors, sending invitations, tracking RSVPs, ordering catering, creating name badges, etc.).
  • Supporting the on-boarding of new hires (processing hardware and software requests along with other BSL duties).
  • Providing on-site support during events (set-up, greeting attendees, printing documents, etc.).
  • Work schedule flexibility during daytime office hours, including availability for overtime as needed for events administration.
  • Assisting with other projects/duties as assigned.

Requirements

Required Qualifications:
  • High school Diploma or GED
  • 3+ years of experience supporting senior leadership within a corporate environment
  • 3+ years experience scheduling travel and maintaining high level leadership calendars
  • Advanced proficiency in MS Office (Including Outlook) to include using multiple calendars and ability to update and make changes to spreadsheets and presentations. 
Preferred Qualifications:
  • Advanced proficiency in Concur processing expense reports and coordinating travel is preferred.
  • Project coordination or event planning experience is preferred.
Soft Skills:
  • Ability to build and maintain relationships and
    experience delivering a high level of internal and external customer
    service.
  • Excellent written communication skills.
