About this job



The Accounting Assistant is responsible to record Accounting transactions accurately and in a timely manner to insure deadlines are met for financial reporting. This position is in support of and reports directly to the Accounting Supervisor.

Responsibilities of the Accounting Assistant position include, but are not limited to:
  • Accounts Payable: Match, Code and Enter vendor invoices in Accounting software.


Determine taxability of vendor invoices, note tax on invoice and copy, track taxable invoices in spreadsheet. Process expense reports and American Express statements by matching receipts to entries on report, allocate amounts to proper GL account and enter in Accounting software. Track vendor disputes. Enter and maintain vendor information in Accounting software

Accounts Receivable: Invoice parts shipments, process credit card payments, enter cash receipts, request/process/track advance payments. Enter and maintain customer information in Accounting software
  • Collections & credit: Analyze accounts on hold, determine status and release orders when necessary. Request and process credit applications along with necessary documents. Call and/or correspond with overdue customers for payment requests.
  • Enter exchange rate for foreign currencies into Accounting software every morning
  • Maintain postage meter and add postage when necessary
  • Answer phones and screen solicitation calls
  • Process and distribute mail daily
  • File Accounting documents and reports
  • Financials support: track all monthly invoices for receipt and entry prior to month-end close, enter bank transactions, keep all assigned tracking spreadsheets up-to-date
  • Communicate customer payment issues to other departments
  • Become the expert on ERP software functions of assigned areas, learn to utilize additional features and document how-to instructions in Accounting Share folder
  • Other related duties as assigned by Accounting Supervisor


Job Requirements

Requirements include, but are not limited to:
  • Excellent organizational skills
  • Excellent oral, phone and written English communication skills
  • Excellent computer skills and experience with Microsoft Word and Excel
  • Ability to cope with varying frequency of incoming requests from customers and assigned tasks by constantly re-assessing priorities in order to maximize company objectives
  • Maintain professional and positive working relationships with all internal and external contacts and business dealings, with a strong "teamplay' work ethic
  • Manage priorities and work efficiently to keep up with workload on a timely basis


******Candidate must be comfortable with speaking on phones

******Working knowledge of bookkeeping and cash receipt functions

******Experience with Microsoft Dynamics GP a PLUS
