Overview:

Provide administrative support for 4 attorneys and 2 legal assistants in a small congenial law department. Duties include managing calendars and correspondence, tracking assignments and issues, maintaining logs/summaries on various topics, processing invoices and expenses, tracking against a budget and answering phones. Perform other duties as assigned. This position is based out of San Francisco.

Essential Functions:


  • Responsible for certain office management functions such as:
    • Managing departmental invoice review and processing.
    • Ordering supplies.
    • Coordination of office/phone moves.
    • Coordinating scheduling and logistics of departmental meetings.
    • Tracking of department assets.
  • Provide overall administrative support to the 4 lawyers and 2 legal assistants, including:
    • Being the point of contact for department employees.
    • Arranging meetings/phone coverage/call screening, handling correspondence and filing, managing calendar, and preparing PowerPoint presentations and related materials.
    • Tracking assignments and maintaining summaries of certain types of matters/issues
    • Arranging all travel requirements.
  • Assist in timekeeping oversight through maintenance of vacation/time off records and review of system time reports.
  • Serve as first point of department contact for PC or other system issues and coordinate resolution with technical support groups.
  • Regular, dependable attendance & punctuality.

Qualifications:

  • Education/Experience: Minimum of a high school diploma or equivalent is required, Associate's or Bachelor's Degree preferred 3-5 years of administrative experience required.
  • CommunicationSkills: Excellent interpersonal, written and verbal communication skills. Proficient in using Microsoft Windows, Word, Excel, PowerPoint and the Internet. Experience with DeskSite, Sharepoint and litigation management systems a plus.Able to assist in office budget creation and tracking.
  • Mathematical Skills: Basic math functions such as addition, subtraction, multiplication, and division.
  • Reasoning Ability:Must be able to work independently with minimal supervision. Ability to work under pressure and handle and prioritize multiple projects with excellent follow-through.
  • Physical Demands: This position involves extended periods of sitting and the extensive use of computerand the office equipment. May involve stooping, kneeling, or crouching. Involves close vision, color vision, depth perception, and focus adjustment.
  • Other Skills: Extremely dependable, with the ability to handle confidential information
  • Work Hours: Ability to work a flexible schedule based on department and company needs.
