This
is a dynamic position for an energetic Senior Administrative Assistant who can
work independently and support our management team. You will be working at our Minnetonka, MN office on 9900 Bren Road East.  

Employees in this function include more traditional Administrative/Clerical support roles including: answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. At senior levels, this function may include supervision of other Clerical/Administrative staff.

Primary Responsibilities:

  •  Manage calendars,
    schedule and coordinate meetings
  • Arrange offsite meetings
    in various locations, ability to coordinate schedules
  • Create and edit
    documents and presentations
  • Interact with
    individuals at all levels of the organization
  • Arrange travel
    (including International), manage passport/ global travel process and submit
    expense reports
  • Facilitate sharing of
    information among internal resources
  • Handle highly
    confidential information discretely
  • Independently perform
    varied administrative duties related to functional area
  • Manage documents and filing
  • Answer phones; evaluate
    calls in terms of importance and use independent judgment to take appropriate
    action
  • Assist with special
    projects as needed
  • Assist with software and
    hardware setup for new hires and existing staff
  • Complete service
    requests to support the department's needs.
  • Extensive work experience within own function.
  • Work is frequently completed without established procedures.
  • Work independently.
  • May act as a resource for others. 
  • May coordinate others activities.

  • Able to work autonomously with
    minimal direction.

    communication skills with professional demeanor.
  • Ability to manage multiple
    tasks/projects and deadlines simultaneously with attention to detail.
  • Must be able to work in a
    large, matrix corporate environment.

    and be comfortable working worth people at all levels.

Requirements

Required Qualifications:
  • High School Diploma/GED.
  •  3+ years of current
    Administrative experience working within a fast-paced, matrix organization.
  • Current proficiency with Microsoft Office Suites, including Outlook for calendar scheduling and emails, Word for
    documentation, PowerPoint to help create basic decks, and basic Microsoft
    Excel skills to include update spreadsheets, as needed.
  • Experience
    in a customer-focused role demonstrating professional written and verbal communication skills.
Preferred
Qualifications: 
  • Experience On-boarding New
    Employees.
  • Experience arranging WebEx
    virtual meetings and teleconferences.
  • Experience coordinating large
    meetings and conferences for senior leadership.
  • Previous experience creating executive presentations
