This position supports the Fleet Shop Operations with Scheduling, Customer Service, Inventory and Account Management, Clerical Duties, and Reporting.
DUTIES AND RESPONSIBILITIESa:
Customer & Operational Support Duties and Responsibilities:
  • Answers incoming phone calls in a prompt, polite, professional manner.
  • Greets customers in a timely and friendly manner.
  • Answers email and telephone inquiries regarding service appointments and work in process.
  • Reviews and closes repair orders to ensure that work is completed with additional comments and authorization noted.
  • Ensures that all warranty claim repair orders are accurate and emailed to Sr. Manager in charge of warranty claims.
  • Creates and Manages shop purchase orders.
· Maintains an organized and professional environment.
· Maintains a professional appearance suitable to working surroundings.
Partnership with Lead Tech:
  • inputs “ work pending “ from vehicle reports sent to shop by drivers.
  • Coordinates with Outside Repair Facilities to schedule repairs and provides payment.
  • Checks on progress of repair(s) throughout the day. Contacts driver/supervisor regarding any changes in the “promised time”, explain time requirements in detail, and gets proper authorization before any additional repairs are performed.
  • Emails work completed with survey link to driver and supervisors (if not automated).
  • Informs driver/supervisor of any damage repairs required and schedule date to have work performed.
  • Implements a quality control process to eliminate comebacks.
  • Provides a timely daily work in progress (WIP) and updates the Manager accordingly.
  • Monitor Parts Inventory and Monthly Physical Inventory. Provides reporting and recommended adjustments of findings for Manager’s approval.
  • Controls spare vehicle inventory assigned to CCFS shop.
  • Works with CCFS business partner to maintain the fleet with any services needed.
Office Assistance Duties and Responsibilities:
  • controls all posted documents, including time records, vehicle records and changes to parts inventory.
  • Controls purchasing of office supplies including maintaining office equipment (i.e., copiers, printers, fax machines, etc.). Trains personnel in its use and troubleshoots problems.
  • Assists in computer training as directed by the Sr. Manager.
  • Handles special clerical projects or reporting as instructed by either the Manager.
  • Prepares and sends out invoices for payment or pay invoices with P-Card. Adheres to P-Card procedure on all payments with card. Reconciles P-card transactions and account coding.
  • Composes and prepares routine correspondence on a weekly base for the Sr. Manager.
Qualifications
  • Education and training should clearly demonstrate the possession of the knowledge and skills stated above.
  • Associate's degree or equivalent from two-year college or technical school;
  • 2-5 years of related experience and/or training; or equivalent combination of education and experience.
