GPI/CARQUEST corporate office, located in Raleigh, NC, is seeking an Executive Assistant. The Executive Assistant provides administrative and staff support services to the President and operating committee level executives. This is a visible position requiring a high degree of professionalism and the ability to maintain confidentiality. The Executive Assistant represents the Department to internal and external customers and assists Department Team Members as needed. Ideally this position will provide candidate exposure within the organization and can lead to opportunity for growth within the organization.

Essential Functions:
•Prepares a variety of correspondence, including email, memos, forms, letters, reports and presentations.
•Composes emails and letters on the executive's behalf.
•Manage, arrange and coordinate travel schedules and reservations, assist with coordinating department meetings and travel.
•Coordinate and schedule meetings using Outlook, reserve conference lines and conference rooms and ensure conference room and equipment are prepared and in working order prior to meeting; prepare and distribute agendas.
•Manage incoming and outgoing mail, email, faxes and overnight courier services.
•Answer and screen telephone calls, re-routing to appropriate person when necessary; responsible for maintaining calendar and voice mail.
•Gathers and organizes store data through the use of various computer software technologies and redistributes to corporate and field teammates
•Prepares and distributes documents for signature and collects, distributes and files documents after signatures have been obtained.
•Tracks information for the department, which may including filing, entering information in a database, collecting information from others, maintaining checklists, action item lists, project schedules, etc.
•Prepares and distributes of various monthly reports for the department.
•Greets visitors, ascertains nature of business, and directs visitors to appropriate person.

Non-Essential Functions:
•May participate in department meetings to take minutes and track action items.
•May compile statistical reports.
•May take and transcribe notes and dictation.

Required Skills
Education Level:
•Associates Degree, or equivalent experience

Work, Skills & Abilities Required:
•Previous administrative experience in an office environment, including support for senior-level management and executives with a high-degree of professionalism and efficiency.
•Must be able to maintain confidentiality of sensitive and/or proprietary information.
•Advanced proficiency and creativity in Microsoft Office software (Word, Excel, PowerPoint, Outlook), and the ability to learn other software programs as required.
•Strong organizational skills with ability to manage multiple projects simultaneously.
•Strong time management and communication skills.
•Strong attention to detail Perform with a high degree of ethics and confidentiality.
•Sense of urgency
•Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
•Ability to write reports, business correspondence, and procedure manuals
•Ability to effectively present information and respond to questions from all levels of the company
•Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret bar graphs
•Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

Desired skills
•CPS (Certified Professional Secretary) or CAP (Certified Administrative Professional) certification preferred
•Notary Public certificate a plus.
