Have an eye for detail? Entertainment Production Coordinators provide administrative and operational support to Event Supervisors and Stage Managers for special events. We are looking for outgoing and organized Entertainment Production Coordinators to ensure the smooth operation of our events.


Entertainment Production Coordinators at Universal Orlando are responsible for:

  • Assisting Supervisor/Stage Manager in event documentation, staff requests, legal requests, revisions, confirmations, and creation of entertainment itineraries, per supervisory instructions.
  • Coordinating communication of pertinent event information with other departments, including but not limited to Marketing, Publicity, Park Management, technicians, vendors, and outside companies.
  • Assisting management with the maintenance of Entertainment Production SOP’s, processing guidelines and event documentation.
  • Responsible for Communication and coordination of event specifics to Universal Orlando Entertainment Staff, including: talent/park technician involvement, duty assignment and schedule for venue Coordinator, identification and coordination of logistical elements and script requirements (i.e., securing props, costumes, transportation, etc.), and post-event labor reconciliation and reporting
  • Resolving and/or communicating event issues/status to Event Supervisor and/or Event Management. 
  • Coordinating communication with internal/external clients during events.  Ability to effectively reason and communicate in a fast paced environment.
  • Acting as a main contact for entertainment venues & performers during events while relaying information to resolve any issues that arise, including signing in/out cast and crew, monitoring, and reporting daily performances & feedback into an FYI.
  • Monitoring event logistics in order to ensure that all entertainment elements are in compliance with the rules and regulations set forth by either performer’s SOP’s or vendor’s contracts, and are set as requested by the client.
  • Periodic responsibility for unsupervised small events (RBC, photo shoot, LCM’s) including trouble shooting and problem solving. Coordinate Entertainment employees throughout local or regional off-property events (i.e., character appearances, etc.). Coordinating communication with internal/external clients during local or regional off-property events. Coordinating travel logistics for off-property events.
  • Understanding and actively participating in Environmental, Health & Safety responsibilities by following established Universal Orlando policy, procedures, training and Team Member involvement activities.
  • Performing other duties as assigned.



To perform the role of an Entertainment Production Coordinator successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Consistent attendance is a job requirement
  • High school degree or GED required
  • Associate’s degree (AA) is preferred
  • Bachelor’s degree from a four year college or university in related field preferred
  • Zero to One year experience within the professional Entertainment or theme park industry required
  • One to three years experience in hospitality and/or event planning preferred; or equivalent combination of education and experience
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write simple correspondence.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to deal with problems involving a few concrete variables in standardized situations.


The physical demands described below are representative of those that must be met by an individual to successfully perform the essential functions of the Entertainment Production Coordinator job.

  • Regularly (2/3 of the time or more) stand for prolonged periods; walk for prolonged periods (including ability to walk at a given pace that is predetermined by a moving sidewalk); sit for prolonged periods; talk; repeat using an input device-a keyboard or mouse-in a steady manner; use close vision with or without corrective lens (clear vision at 20 inches or less); use distance vision with or without corrective lens (clear vision at 20 feet or more); maintain alertness and attentiveness up to 4 hours while working varying hours; maintain concentration/focus (e.g., ability to interpret the work environment and make decisions on predetermined operating policies and procedure).
  • Frequently (1/3 to 2/3 of the time) hear audible alarms, voice commands with background noise; use color vision (ability to identify and distinguish colors); use peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point); use depth perception (vision, ability to judge distances and spatial relationships); adjust focus (ability to adjust the eye to bring an object into sharp focus while in changing light conditions e.g., sunshine to indoor or dark conditions); work in varied light conditions including low or diminished lighting; work in an environment with flashing lights including strobe lamps.
  • Occasionally (1/3 of the time or less) use hands and fingers to grip, pinch, handle or feel objects, tools or controls; climb stairs/ladders; balance; stoop, kneel, crouch or crawl; reach, pull, push with hands and arms above/below head; lift/push up to 25 pounds with control; work in small or tight spaces.


The work environment characteristics described below are representative of those an individual encounters while performing the essential functions of the Entertainment Production Coordinator job.


While performing the duties of this job, the individual is required to:

  • Regularly (2/3 of the time or more) use a valid Florida state driver’s license; work in outdoor weather conditions to include direct sunlight, heat or cold.
  • Frequently (1/3 to 2/3 of the time) be exposed to loud noise levels (noise when raised conversation is needed).
