Job Purpose


The Client Services Coordinator is responsible for providing key support to the planning, management, and oversight of events and other special projects. This position will use Integrated Marketing Services' proprietary software, PTS, as well as proprietary Client software, and Microsoft programs to generate work requests, coordinate cross-functional tasks, and complete associated duties. Results will be obtained through effective planning, influence building, and use of resources.


Job Responsibilities


Protecting Accounts
  • Document account plans and forecasts: Assess activities to plan; monitor sales forecasts and event requirements in PTS to ensure accuracy; log activities to track progress against the plan.
  • Manage and/or monitor deployment readiness and resource alignment: Ensure accurate understanding of mutually agreed client deliverables (e.g., terms and conditions, service-level agreements) and ensure knowledge is dispersed amongst personnel engaged in post-sale activity (e.g., operations, field execution); when needed; act as the focal point for event education and preparation within individual geographies; create client communication to ensure operational alignment.



Maintaining Accounts
  • Prepare standard and ad hoc reports on account status: Analyze account performance and contractual status data (e.g. compliance, out of stock, consumer engagement data, etc.); research customer or account business health and other qualification variables that quantify risk or opportunity (e.g. retail market trends, individual shopper trends, etc.); generate report on event readiness and business performance as scheduled or on demand (e.g. capacity reports, product procurement reports, etc.).
  • Provide task substitution assistance in order to facilitate sales: Act in parallel to customer-facing sales in executing any back-office or operational tasks involved with aggregating data that will advance or formalize new deals; enter data using appropriate systems and processes and track processing to completion.
  • Craft agreements and formal documents in securing new business: Assemble standard agreements for use by others as boilerplates for non-complex opportunities (i.e. insert form example); communicate formalized expectations of work to stakeholders to ensure understanding of the opportunity and attendant responsibilities in execution; ensure that contracts and statements of work move through sanctioned approval process and are archived appropriately upon signing.
  • Troubleshoot customer operational issues: Revise inaccurate data entry; solicit and gain required approval, expedite customer involvement, or identify internal operations issues for escalation.



Job Requirements


Education
  • 4 year college degree preferred or equivalent job-related experience.



Experience
  • One year of related field marketing experience.

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
