Job Purpose

The Retail Administrator position requires a thorough, detail-oriented person capable of managing multiple projects with excellent follow through and accuracy. This individual will provide key operational support to Management within the Mars SF DRT to aid in the execution of Client Credit Card Programs. This is an ideal position for someone who is a problem solver, detail oriented individual seeking a career path in Administrative Management. This position offers direct project involvement in the implementation and reporting for multiple credit card programs which will includes communication with both ASM managers and Client managers via telephone, email, and in-person in a results-driven, fun, and dynamic team based culture.

Job Responsibilities
  • Pull online associate PPC reporting and MasterCard charge reporting and reconcile
  • Research charges with missing reporting and/or variances in reporting
  • Order/terminate associate credit cards as needed
  • Communication with MasterCard fraud department – file claims as needed
  • Manage account balances with MasterCard including requests for replenishment funding from clients
  • Posting reporting to Mars Convenience website for all companies the team administers programs for
  • Daily/Weekly/Monthly reporting as needed to keep client aware of program funding and success
  • Database input and profile management
  • Manage Mars Wrigley payment tracker for determining payment progress
  • Manage Wrigley contract payment requests through ASM Accounts Receivable system
  • Update code matrix as needed
  • Provide support within the retail administrator community as needed when urgent projects require additional support


Job Requirements
  • AA degree and/or some college preferred
  • 2-5 years of accounting and/or project support experience working with MasterCard
  • Intermediate Microsoft Excel (formulas/formatting/pivot tables/VLOOKUP), Word, and Outlook
  • Ability to handle multiple tasks and priorities and meet assigned reporting deadlines
  • Excellent organization, time management, and reporting skills
  • Strong written and oral communication skills

Position Summary

The Retail Administrator (RA) is responsible for administrative functions for the Retail Department.

Essential Job Duties and Responsibilities
  • Support CORE Management
  • Maintain Authorizations within the Retail database
  • Pull and analyze reports from the Retail database
  • Maintain Authorizations in the Retail database
  • Post and maintain files on the CORE Connects Web site
  • Work directly with Retail Sales Associates in support of Managements objectives
  • Maintain Trackers for various functions within CORE on the Connects Web site
  • Print and collate mailings for Retail Sales Associates as needed.

Minimum Qualifications The following are the minimum job-related qualifications which an individual needs in order to successfully perform the essential duties and responsibilities of the job

Education Level: (Required): High School Diploma or GED or equivalent experience
  • 1-3 years of experience in administrative or retail environment. Prior sales and marketing or industry experience preferred


Skills, Knowledge and Abilities
  • Intermediate level skills in Excel, Power Point, and basic Access skills
  • Must have a complete understanding of retail reporting system including how to input information and pull reports, as well as serving as a contact for new users
  • Must be able to effectively communicate and deal professionally with associates, clients, and customers
  • Must be able to prioritize tasks, handle a variety of tasks at one time and adapt to a changing work environment
  • Must be a team player
  • Must perform the job safely and utilize proper safety techniques and use of equipment when appropriate.
