The Medical Records Specialist will work with the Lead Medical Records Specialist and is under the direct supervision of the Clinic Manager. This position is responsible for processing the in box in medical records. They must collaborate with other administrative staff to provide prompt and high quality services to the clinic staff and to patients.

  1. Provide day to day chart management, which may includes but is not limited to pre-pulling charts for scheduled appointments, "walk-in" appointments, telephone call requests and medication requests; ensures that all charts pulled for pre-pull are completed 2 (two) days in advance of clinic schedule (Monday's charts for Wednesday's schedule will be pulled) according to the following protocol: (1) Schedule will be printed prior to pull (2) Out-guides will be made to match the schedule and placed in the red pockets (3) Charts will be pulled and replaced with out guides (4) Charts will be placed on the cart and divided by provider in time order (5) Charts will be reviewed with Lead Medical Assistant or individual who is designated as the chart set-up person for the day before charts are taken from the department. These tasks will alternate month to month between both clerks.
  2. Ensures medical records privacy and confidentiality guidelines; works with staff to ensure that all protected health information is out of view of other patients at all times and is secure when work shift has ended; ensures that all protected health information is disposed of in the proper manner when required.

MINIMUM POSITION REQUIREMENTS:

Education & Experience: High school diploma or equivalent and one year administrative experience and proven excellent customer service experience in a busy customer service related environment is required. One year experience in a medical office, hospital or clinic.

Special Skills/Equipment: Attention to detail with ability to file alphabetically by last name, first name and numerically by date of birth (when applicable). Experience utilizing medical terminology helpful. Must have ability to manage priorities and workflow. Ability to operate computer, copy machine and other office equipment.
