Position Description:


We
are seeking a designated Onboarding Specialist and Department Assistant to join
our dynamic Optum Collaborative Care team!  You will be an operational
resource to help build a best-in-class onboarding process for new
employees.  



 





Primary Responsibilities:



  • Submit New Hire Service Request to secure hardware,
    software, space and telecommuter connectivity; Additionally, submit security
    access requests, email account, Personal Communicator, WebEx, Rightfax.
  • Build strong understanding of a New Hire's needs to
    proactively provide solutions and anticipate issues 
  • Serve as point of contact for new hires prior to Day 1
    and throughout their first week of employment 
  • Provide professional and timely resolution of requests
    and customer service escalations or issues.
  • Build strong relationships with hiring managers and
    business partners to increase collaboration and drive process improvement
  • Evaluate existing processes and identify/make
    recommendations for improvement

Major Responsibilities:



  • Perform administrative and office support activities for the team,
    including fielding telephone calls, receiving and directing visitors, and
    scheduling, planning, and documentation of meetings
  • Support on-boarding of new team members
  • Support the management team of the organization
  • Prepare reports and financial data
  • Coordinate office space and equipment maintenance including ordering of
    supplies
  • Expense management
  • Coordinate travel arrangements
  • Other duties as assigned

Requirements

Required Qualifications:



  • High school diploma
    or GED
  • Current proficiency
    utilizing Microsoft Word (documentation), Excel (sorting and filtering),
    PowerPoint (creating basic decks) and Outlook (sending and receiving emails)
  • 2+ years - Working
    in an Administrative Assistant role supporting management and staff
  • 2+ years - Travel
    arrangements, scheduling meetings, maintaining calendars and expense reporting
  • 2+ years -
    Experience preparing and writing correspondence and handling information of a
    highly sensitive and confidential nature is required.
  • Must have experience working within
    a fast paced environment while maintaining accuracy and attention to detail 



Preferred
Qualifications:



  • More advanced skills within Microsoft Excel (creating
    pivot tables)
  • Healthcare industry experience is preferred.
