Overview:

Jacksonville, FL

The Assistant Payroll Manager will provide functional and technical expertise regarding payroll processing, that is compliant with corporate policy and all state and federal wage and tax regulations as well as any payroll related implementation projects. The incumbent is responsible for International Payroll and will also be responsible for maintaining and exceeding customer satisfaction and payroll department performance.

Responsibilities:

  • Responsible for overall management of company’s payroll processing for multiple tax entities, supporting multiple locations that includes implementation of best in class payroll processing standards.
  • Establishes practices, procedures and controls necessary to ensure the efficient & timely operation of the payroll function.
  • Ensures payroll is reconciled and compliant with state and federal regulations and corporate policy including Fair Labor Standards Act (FLSA).
  • Coordinates deadlines and processes with other departments to ensure the payroll and time and attendance process can accommodate varying cyclical deadlines; solves problems before, during, and after payroll cycles; updates, distributes and maintains department manuals as needed.
  • Assigns, directs, schedules, and evaluates the work of associates involved with processing payroll, deductions, as well as time and attendance.
  • Manages development and performance management of the payroll team
  • Continually evaluates processes and recommends changes or enhancements that will increase or otherwise improve payroll operations.
  • Ensures appropriate security measures and internal controls are established and enforced for the accurate posting to the general ledger and to safeguard company information.
  • Oversight of auditing the master file information (salary, history, federal & state tax information, address changes, department changes, deductions and direct deposits) and account reconciliation for both bank and payroll G/L accounts.
  • Additional duties and special projects as requested.

Requirements

  • Certified Payroll Professional (CPP) preferred but not required.
  • A minimum of five (5) years progressive experience in payroll including a minimum of (2) years of supervisory experience.
  • ADP experience preferred but not required.
  • Strong payroll accounting background and knowledge of FLSA regulations required. Expert knowledge of payroll processes and systems, Federal, multi-state and local tax reporting experience required.
  • Highly motivated individual with proven track record of payroll processing excellence
  • Comfortable multi-tasking and performing multi-faceted tasks in conjunctions with day to day activities.
  • Ability to focus on team development and a demonstrated ability to supervise, motivate, coach, train and provide timely feedback to associates.
  • Functions well in a team environment.
  • Ability to analyze and interpret financial data
  • Must have excellent organizational, communication and interpersonal skills.
  • Must demonstrate excellent time management, problem solving skills and customer service skills.
  • Ability to establish credibility and decisiveness but recognizes and supports organizations preferences and priorities.
  • Must be able to effectively communicate and work with diverse personalities while demonstrating tact, professionalism and flexibility.
  • Strong technical skills including payroll processing technology such as PC software – PeopleSoft, ADP, Crystal or ReportSmith; MS Word, Excel, MS Access
