Positions in this function include more traditional administrative/clerical support roles including: answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. At senior levels, function may include supervision of other clerical/administrative staff.

  


Primary Responsibilities:  

  • Assist BSL with New Hire Service Request to secure hardware, software, space and telecommuter connectivity; additionally, submit security access requests, email account, Personal Communicator, WebEx, Rightfax.
  • Assist BSL to build strong understanding of a New Hire's needs to proactively provide solutions and anticipate issues 
  • Assist the BSL to serve as point of contact for new hires prior to Day 1 and throughout their first week of employment 
  • Provide professional and timely resolution of requests and customer service escalations or issues.
  • Build strong relationships with hiring managers and business partners to increase collaboration and drive process improvement
  • Evaluate existing processes and identify/make recommendations for improvement 

Requirements

Required
Qualifications:



  • High School Diploma/GED.

  • Current
    proficiency utilizing Microsoft Word (documentation), Excel (sorting and
    filtering), PowerPoint (creating basic decks) and Outlook (sending and
    receiving emails).

  • 2+
    years experience working in an Administrative Assistant role supporting Management
    and staff.

  • 2+
    years experience making travel arrangements, scheduling meetings, maintaining calendars
    and expense reporting.

  • 2+
    years experience preparing and writing correspondence and handling
    information of a highly sensitive and confidential nature.

  • Alpha/Numeric Data Entry, copying, faxing and other basic Administrative
    duties.


  • 2+ years Customer Service experience working with internal and external
    customers.

Preferred
Qualifications:

  • Experience within Microsoft Excel (creating pivot tables).

  • Utilizing
    Visio to create Org charts.

  • Healthcare Industry experience.

  • Experience
    working with a virtual team and the ability to be self-motivated and
    anticipate leadership and team's needs.
