About this job


Under minimal supervision, performs diverse and complex administrative duties for four Directors and teams as needed. Responsibilities include managing calendars, making travel reservations, processing expense reports, processing appropriate paperwork for staffing changes and more. Good communication and computer skills required. Must be a team player and able to prioritize multiple tasks. Contact with senior management, department managers, employees, and outside vendors.

*Perform a variety of administrative assignments including, but not limited to, scheduling & coordinating meetings & conference rooms, travel arrangements, processing invoices, purchase orders
*Provide phone coverage for team, copy, fax and manage office supplies & order supplies for teams
*Maintain filing, sort & distribute mail. Timekeeping, manage asset purchasing & receiving.
*Audit & maintain invoice approvals & expense accounts.
*Prepare documents, proposals, etc., as required.
*Back up other assistants in the department as needed.

Qualifications

Skills Required:
*Require high school diploma or GED equivalent
*4-6 years of office and/or clerical experience. Admin. Asstistant duties preferred.
*Strong communication and interpersonal skills
*Strong organizational and process management skills
*Ability to work in a team environment
*Ability to meet deadlines and work under stressful situations
*Proficiency in Microsoft Office applications, (i.e. Excel, Word)
*Proficiency in Lotus Notes
Skills Desired: Skills listed are not required, but helpful:
*Experience with the following applications/tools:
Ariba (iBuySmart), Concur (travel), Kronos (timekeeping), MSS, Performance Management Tool.
