About this job

Duties Include :
• Provide administrative support to the Managing Director by maintaining schedule/ calendar, travel management and other support, as needed
• Coordinate travel arrangements including: domestic/ international and required Visa's
• Serve as Receptionist, directing phone calls for all office employees
• Serve as the face of the office, acting as primary contact for all tenants and other visitors
• Perform general office work such as ordering supplies, sorting daily mail/deliveries, creating documents, etc.
• Oracle Administration and processing. Applicable functions will include purchase order requisition entry, Purchas order and main office receiving transaction entry and documentation, manufacturing process requests with Bill of Material support, sales order document retention process, Alcoa ASAT/audit support.
• Supply Chain logistical support. This would include scheduling transportation of AOG raw materials and finished good utilizing the Alcoa corporate transportation group. Communicating and coordinating with suppliers on pick-up and arrival appointments.
• Procurement support. Oracle order entry, invoice processing, order expediting, account resolution, reporting, documentation retention.


Minimum Qualifications (be specific):

• Associates Degree with 5 years of relevant work experience
• Experience with Microsoft Office suite (MS Access, Word, Excel, and PowerPoint), Oracle or any other ERP system
• Ability to handle multiple priorities
• Must have a positive, collaborative and highly adaptive work style
• Ability to communicate and work with people at all levels of organization
• Possess reasoned judgment and excellent interpersonal skills to make decisions and interact successfully w/all customers.

Additional Job Details:
M-F, 20 hours per week, with flexible schedule within normal business hours.
