Job Purpose: To assist in the daily operations of the office manager and upper level management

Key Responsibilities:

  • Clerical duties- answer phones, take messages, write up work orders
  • Filing- maintain and organize job files
  • Job costing- Match invoices with purchase orders, check for accuracy in pricing
  • Maintain company fleet- schedule maintenance, keep track of fuel consumption, and vehicles whereabouts ect.
  • Update and maintain company contacts- vendors, customers, and job contacts
  • Assist in the submittal process- performing research and putting together submittal packages
  • Order office supplies
  • Place orders with vendors for task receptacles, portable toilets, cranes ect.
  • Record meeting minutes for weekly progress meetings
  • Type proposals and letter

  • Must be a self-motivated individual with positive attitude
  • Reliable
  • Ability to be a team player
  • Strong ability to communicate both written and orally
  • Must have professional demeanor with good customer service skills
  • Detail oriented
  • Strong computer skills using Microsoft Office; ie Word, Excel, and Outlook
