The Clinical Administrative Coordinator provides routine administrative support to the clinical teams. Including but not limited to answering both the TERM and Optum provider lines, and demonstrating exceptional customer service.  The Clinical Administrative Coordinator plays a key role in building professional relationships with external stakeholders and internal customers.

Candidate must possess ability to type, enter accurate data in to designated databases, respond to high volume calls, file and sort through faxes, and use multiple databases/computer software programs.  High school diploma/GED required.  Some college education preferred.  Candidate should be able to work in a fast past clinical team environment. Candidate should be a self-starter, work independently, have excellent interpersonal and customer service skills, and have the ability and flexibility to handle multiple responsibilities on a daily basis.

Primary Responsibilities:
  • Data entry of client information into designated database.
  • Processing and tracking inpatient and outpatient authorization requests
  • Update and validate demographic and diagnosis information in Anasazi as needed.
  • Scanning of documents for retention and filing of documents until they can be purged.
  • Purging of documents.
  • Facsimile and photocopy duties; other assistance to CSS team as needed with overall direction from CSS Supervisor.
  • Efficiently answer incoming calls and provide prompt and courteous service to customers and guests. 
  • Position requires ability to access the county's electronic medical record.
  • Processing Authorizations within the establish TAT, and serving at back up for CSS processes depending on staff availability.
  • Sort through incoming faxes. 
  • Cross train in other CSS processes.
  • E-filing of all requests, treatment plans, reports, etc.
  • File data and perform other routine clerical tasks as assigned and for other departments as needed. 
  • Operate a variety of standard office machines, including a personal computer and a variety of computer software, DYMO label, phone, fax, calculator, shredding machine and photocopy machine. 
  • Interpret and respond clearly and effectively to verbal requests over the phone or in person, and to verbal or written instructions in a timely manner. 
  • Establish and maintain effective working relationships with co-workers, supervisors, managers, stakeholders, and the general public.
  • Perform reception duties in an efficient, professional and courteous manner.
  • Pursue personal development of skills and knowledge necessary for the effective performance of the role.
  • Other duties as assigned.

Requirements

Required Qualifications:
  • High School Diploma/GED.
  • 2+ years of Professional experience in an Office setting using the telephone and computer as primary instruments to perform job duties.
  • Proficient using a computer and Microsoft Office (MS Word, MS Excel, and MS Outlook).
Preferred Qualifications:
  • Some college.
  • Experience working in the Healthcare field.
  • Working knowledge of Medical Terminology to communicate with members and providers.
  • Knowledge of HIPAA regulations.
  • Experience with ICD-9/CPT coding.
  • Experience with Medicaid and Medicare services.
