Job Summary:
The Workplace Services Technician is responsible to ensure a safe, pleasant, comfortable work environment to enable productivity and employee engagement. The employee will provide routine maintenance, facility planning, and general office services for the National Student Clearinghouse corporate office in Herndon, VA.

Position Responsibilities:

Facilities and Maintenance
* Serve as point of contact for all internal/external issues related to the physical operation of the NSC office in Herndon, VA. Consult and work on other office locations as needed.
* Serve as liaison with property management and housekeeping regarding matters that impact the NSC workspace or workforce. Utilize their work order systems to request service. Build a strong working relationship.
* Make recommendations to management regarding upgrade, repair, and replacement of furnishings and equipment.
* Develop and manage a routine maintenance schedule for items such as carpet cleaning, blind cleaning, painting, office chair repairs, deliming coffee machines, cleaning ice makers, etc.
* Perform routine maintenance and repairs such as assembly of furniture, refrigerator cleaning, defrosting ice makers, hanging boards and pictures, chair and cubicle repair, paint touch-ups, etc.
* Serve as liaison with the Fire Marshall and other county staff. Obtain Occupancy Permits as needed.
* Inspect the building and grounds during weather or other emergencies and communication condition and/or requests to the building maintenance staff or your supervisor.
* Identify and suggest ways to reduce energy, material, and water usage. Support NSC sustainability initiatives.
* Move and set up supplies and furnishings for special events.
* Coordinate with outside vendors for specialized repairs and services.

Workplace Services
* Process incoming and outgoing mail in a timely and accurate manner. Operate postage machine and send packages by FedEx. Maintain the shipping log and communicate with senders and receivers. Follow up on lost or late packages. Drop packages at FedEx locations occasionally.
* Order and purchase office supplies, furniture, and other products as needed. Compare prices on a routine schedule and make recommendations for changes to improve cost effectiveness and quality. Review invoices to ensure accuracy. Contact vendors to correct any discrepancies.
* Maintain appropriate supply levels in NSC kitchens, conference rooms, and supply rooms.
* Evaluate current and prospective vendors and suggest new vendors when necessary. With the Managing Director, HR and Workplace Services, conduct Requests for Proposal. Evaluate results and make recommendations.
* Manage the vendor relationships for exterminator, plant services, postage machine, vending, office supplies, coffee service, generator, and fire protection.
* Provide timely information to the NSC workforce via telephone, signage, e-mail, and face-to-face in a professional manner. Determine which vehicle is most effective for the situation.
* Handle all facets of the Iron Mountain archive storage service including setup and retrieval of offsite documents.
* Maintain NSC Seating Directory, Facilities Contact List, and SharePoint request forms for space, facilities services, and office supplies.
* Manage office space usage. Serve on the Space Management Committee. Review and respond to space requests. Consider the most effective use of NSC space and make recommendations. Plan and coordinate office moves. Coordinate preparation of workspaces when employees leave or join the Clearinghouse.
* Assign and communicate seating locations to visiting staff members.
* Be available on occasion outside of business hours to coordinate or perform office activities.
* Escort vendors and visitors while on facilities business at NSC.
* Backup for front desk as needed.

Safety
* Adhere to all NSC company policies and the NSC Code of Conduct. Serve as standard bearer for adherence to physical safety and security policies and practices.
* With the Managing Director, HR and Workplace Services, determine the need to delay and cancel office hours according to our short-term office closing policy. Use the Everbridge emergency communication system to inform staff. Conduct physical inspections of our facilities as needed to determine condition.
* Manage Risk Management activities related to facilities. Serve on the Risk Management Committee. With the Risk Management Committee, plan and coordinate evacuation drills and emergency preparedness training.
* In the event of severe weather or other emergency, inspect the facility for damage.

Other
* Deliver excellent customer service.
* Effectively manage meetings following NSC meeting principles including use of Outlook, agendas, and minutes.
* Sort and mail all deferment forms provided by EFI.

Minimum Qualifications:
* High School diploma or equivalent.
* 3 years of experience in office maintenance and facilities.
* One year experience in purchasing.
* Excellent written and verbal communication skills.
* Competence in Microsoft Office Suite (Excel, Word, Outlook).
* Knowledge and experience with basic hand tools.
* Must live within a commutable distance of Herndon, VA.
* Driver's license in good standing and use of a personal vehicle for occasional use on company business.

Desired Qualifications:
* Successful completion of trade or technical training in or beyond high school.

Physical Requirements:
* Use of personal computers (desktop and laptop), postage machine, copy machine, fax machine, and telephone.
* The employee will perform physical activities that require considerable use of arms and legs and moving the whole body, such as crawling, climbing, lifting, balancing, walking, stooping, and handling of materials.
* The employee is required to walk; use hands and fingers to operate, handle, and reach.
* Use of dolly to move furniture.
* Use of a variety of tools including levels, hammers, screwdrivers, wrenches, etc.
* The employee may occasionally lift and/or move up to 50 pounds.
* Employee must be able to travel to the office locations in inclement weather and outside of normal business hours.
* Specific vision abilities required by this job include close vision and the ability to adjust focus.
* The noise level in the work environment is usually quiet.
