Description

The Associate Manager, Reporting is responsible for supporting Dr Pepper Snapple Group objectives through the management of Travel & Event Services (TES) event financials, managing/reporting program budgets, and acting as liaison for the event planning team with all company financial departments and processes.

This individual will collaborate, communicate and interact with stakeholders and customers including all levels of corporate management, internal colleagues,bottler partners, brokers, and suppliers. This position will support the full team of event planning professionals responsible for DPSG meetings, incentives, trade shows and sponsorship events. Because of the nature of this team’s business, the Associate Manager might be asked to provide support with event planning or on-site operations of corporate events.

RESPONSIBILITIES:
  • Manage department financial processes to support TES goals and objectives for all events:
    • Manage the consolidation of period reporting, forecasts and budgets throughout TES. Mange the timely submission of all budget recaps for TES department. Responsible for ensuring the data integrity of all financial information.
    • Manage all accounts payables processes for TES department including vendor setup and requests, managing invoice approval process, database tracking of payments, maintaining invoice records, submission of invoices, manage any urgent requests and troubleshooting any discrepancies.
    • Support Director with period reporting and reconciliation of two TES operational budgets. Lead annual AOP planning for operational budgets.
    • Manage consolidation of period program billings for package event billings, meetings and incentives engaging all necessary parties on the Finance teams. Troubleshoot post program billing issues with marketing funds, field sales and customer service.
    • Manage the reconciliation and clearing of department clearing accounts, ensure timely clearing of program budgets.
    • Serve as first point of contact to TES colleagues for training, troubleshooting and general budget management processes.
  • Lead cross-functional reporting on behalf of TES team:
    • Support overall departmental stakeholder reporting through management of event statistical information including post event surveys, volume reporting and forecasting, vendor spend and hotel consolidation.
    • Maintain and track departmental reporting relative program spend, cost savings, cost avoidance and value generation for each program and business unit. Report information quarterly to TES Lead.
    • Data cleansing and management throughout TES databases.
    • Develop and maintain operational processes and policy harmonization for all TES reporting functions for financial, statistical and inventory management processes
    • Provide any ad-hoc reports and/or analysis as requested by management.
    • Develop data auditing processes, data accuracy standards, data architecture policies, procedures and standards.
  • Coordinate program elements for assigned corporate events. Participate in teams or as an individual to plan and coordinate:
    • Development of program structure and elements based on key brand initiatives and marketing objectives.
  • Leverage strong project management discipline to establish planning principles, critical dates and deliverable expectations for all events.
    • Plan all program elements including registration planning, hotel and housing planning, authoring communications, and planning transportation (air & ground), audio/visual production, product/brand provisioning, etc.
    • Manage registration for 100 - 2500 event participants on assigned programs including database management and report distribution.
    • Direct written and verbal communications with internal/external suppliers including procurement, graphics, hotels, destination management companies, and third-party travel suppliers.
    • Evaluate and recommend program structure changes or enhancements for continuous improvement.
  • Maintain supplier relationships in support of corporate events:
    • Negotiate vendor agreements including hotels, décor providers, ground transportation, merchandise suppliers and other vendors.
    • Collaborate and manage internal/external suppliers to provide quality services that will enhance the execution of all TES programs.
    • Work aggressively with our suppliers to insure that all corporate requirements are met and cost savings are realized wherever possible.
    • Evaluate and negotiate contracts and agreements with hotels, venues, ground transportations and merchandise suppliers, etc. as needed.
  • 5-10 percent travel with extended overnight stays up to 4-7 days.
  • Assume leadership role on special projects as assigned by supervisor.

Qualifications

Qualifications
  • Bachelor degree from an accredited college/university
  • Four years of experience in budget/financial management
  • Two years of experience in meeting/incentive/trade show industry or related hospitality experience required
