About this job

Primary Responsibilities:
  • Reflect the core values of Hill Home Care, Inc. and Jax Home Health, Inc., (d.b.a. an independently owned and operated Home Instead Senior Care franchise)
  • Create and put together admin folders (excluding pay sheets)
  • Fill out employee forms and government forms
  • Order office supplies as needed
  • Oversee and coordinate maintenance of office and office equipment, i.e., cleaning service, copiers, phones, faxes, alarm systems, muzak, etc.
  • Coordinate all services for computers with Southern PC, i.e., server problems, networking, software systems
  • Manage all office credit cards
  • Manage phone system updates internally
  • Update inter-office phone lists and email lists as needed
  • Update marketing materials as needed (price sheets, defining the differences)
  • Assist with filing as needed for CEO and President
  • Manage phone calls and appointments for CEO and President when necessary
  • Type documents for executive team
  • Calculate monthly revenue reports for CEO and President
  • Update organizational charts as needed
  • Revise Preferred Provider Agreements as needed
  • Type monthly newsletter
  • Assist executive team with expense reports
  • Organize breakfast, lunch and/or snacks for Management meetings
  • Coordinate staff dinners, parties and monthly staff birthday parties for Jax
  • Assist accounting department with ACH, AR and any other accounting duties necessary
  • Input new CAREGivers into ADP upon hire
  • Work in QuickBooks as needed for the Accounting Supervisor
  • Manage insurance “Certificates of Liablilty”
  • Coordinate all travel arrangements for management team
  • Answer each incoming call in a friendly, professional and knowledgeable manner
  • Cover front desk when receptionist is away
  • Forward all new client calls to the Client Relations Manager
  • Communicate client and CAREGiver concerns or problems with executive staff other staff members as appropriate
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with the CEO, President, colleagues and CAREGivers
  • Create and build ads for all new hires
  • Create job descriptions
  • Maintain all administrative staff personnel files
  • Assist with payroll
  • Quarterly employee reports
  • Yearly EEO-1 report
