Specific Responsibilities and skills for Position The Administrative Assistant will report to the senior level team member in a variety of capacities:

- Prepare, format, proof, edit and archive complex Word documents.
- Schedule meetings (including web conferences and teleconferences), manage schedules, arrange travel, process expense reports, compose and prepare correspondence and memoranda, organize, manage and maintain individual and department files, process and track payment of invoices, order and monitor office supplies and IT equipment, manage purchase orders on internal systems and special projects as necessary.
- Help prepare Power Point presentations for the group.
- Schedule interviews with identified candidates, including transportation arrangements, meeting requests, preparing agendas and presentation set up.
- Process Master Services Agreements, work orders and change orders for the department.
- Assist other Admins when needed. Essential Duties and Job Functions - Provides administrative and clerical support to an individual manager, department or group of managers.
- May spend significant amount of time coordinating functional administrative activities which support clinical trials, medical information, sales etc.
- In addition to the Administrative Assistant responsibilities provides administrative and clerical support to the department's interview process, which includes creating, and distributing agendas, collecting assessment forms and scheduling and making travel arrangements.
- On-boarding of new employees. Ensures computer equipment, and all new hire materials are arranged for the person's first day.
- May track department budget as directed by immediate manager.
- Conducts internet searches as directed. Creates or may assist in the creation of presentation materials and drafts technical documents as needed.
- Manipulates Excel spreadsheets into different sorts and formats and works with Word, Power Point documents as directed by immediate manager. Gathers, collects, records, tracks and verifies relatively complex data and information from multiple sources.
- Liaises with external agencies or organizations to coordinate activities which are important to the function of the department. Knowledge, Experience and Skills - Minimum of a high school diploma plus 2+ years' administrative experience
- Excellent verbal, written, and interpersonal skills.
- Intermediate to Advanced knowledge and experience using a number of office software such as Word, Excel, PowerPoint, Adobe Acrobat, Outlook, etc.
- Knowledge and understanding of administrative and office policies and procedures.
- Typically works under limited supervision and may receive general direction on new lines of work or special assignments.
- Excellent attention to detail and good judgment.
- Ability to juggle multiple projects at one time.
- High degree of professionalism and a positive attitude in interactions with internal clients and outside parties.
- Ability to complete tasks within deadlines and with a superior degree of accuracy.
