Summary

This is a Part-time position, approx. 28 hours a week
The Regional Administrative Assistant role is to provide administrative support to the Regional Vice President (RVP) and District Team Leaders (DTLs). Represent the RVP in interactions and communications with DTLs, key contacts, outside professionals and co-workers. Gather, organize and analyze data; prepare/modify reports and presentations for meetings and conference calls. Perform special projects as needed.

Scope
  • Provide administrative support to RVP (e.g., screen e-mails, prioritize / screen mail, maintain records/files, etc.). Organize and schedule RVP daily, weekly, monthly and yearly schedule of meetings and appointments; ensures meetings and appointments are kept or rescheduled as needed. Handle all travel arrangements for RVP through Travel Agency.
  • Represent the RVP in interactions and communications with DTLs. Serves as liaison and point of contact for the Region.
  • Perform special projects for the RVP. Prepare correspondences, presentations and expense reports. Process expense reports for DTLs for RVP approval.
  • Handle Customer Service Issues and Cut Above Program for the Region.
  • Compile and communicate daily, weekly and monthly tracking as directed by RVP.
  • Assist in ensuring regional compliance by monitoring DTL reporting and alerting RVP to any potential issues with on time execution.
  • Set up and process invoices for direct bill accounts for DTLs. Set up travel for DTLs, Store Team Leaders (STLs), and Education Coordinators (ECs) for meetings and training. Prepare new DTL paperwork and arranges travel for training. Assist HR with processing and verifying all documents on merit increases (yearly). Set up meetings for HR (meeting space, AV equipment, hotel rooms, meals, transportation, etc). Track and report PTO for DTLs.
  • Process Team Member Suggestions and maintains log. Maintains 6-week schedule for RVP & DTLs in Google Docs. Transcribe and distribute meeting minutes for weekly RVP/DTL conference calls. Maintains DTL calendar. Orders supplies.


Education Requirements
  • Minimum: High School Diploma or equivalent.
  • Preferred: Some college or business courses.


Experience
  • Minimum: 2 years experience working for a top-level executive in a V.P. position or above.
  • Preferred: 5 years experience working for a top-level executive in a retail environment.


Other Skills
  • Proficient in Microsoft Office, Gmail and Google Docs.
