Our scientific company HQ in Waltham, MA is seeking an immediate Talent Coordinator to work onsite and coordinate with other offices to assist with national recruiting efforts.

Typical Day/Week

  • Report to 4 recruiters nationally and schedule all interviews for candidates within a particular division
  • 40 interviews scheduled per week on average, which is high volume/fast paced
  • Schedule across all time zones in US
  • Draft/submit offer letters in final stages of hiring process
  • Enter New reqs into online system
  • Book Phone Screens, Conference Rooms, Live interviews
  • Assist with travel arrangements for all interviews across US
  • Initiate Drug and Background Checks once offer is accepted


Essential Duties and Responsibilities:

  • Manage talent administrative responsibilities with enthusiasm and accuracy, including, but not limited to:
  • Scheduling on-site interviews, coordinating interview schedules
  • Assisting with candidate interview travel, scheduling pre- and post-interview review sessions
  • Forwarding candidate referrals to the appropriate recruiter
  • Applicant tracking
  • Employment correspondence
  • Data entry for background/drug screen administration
  • Contact for requisition initiation and approval process
  • Compiles data for monthly recruitment metrics
  • System admin for applicant tracking system

Minimim Qualifications:

  • BS Degree highly preferred with 0-2 years of professional experience in a HR/Recruiting/Talent Acq department. They love candidates who are entry level with 3 months or above as an intern in a corporate setting.
  • A strong interest in life sciences and scientific manufacturing is highly preferred
  • Excellent attention to detail, organization and accuracy skills. Proven ability to schedule complex appointments and interviews across multiple time zones and locations.
  • MS Office and Outlook proficiency is required.
  • Experience working with HRIS, ATS Strong customer focus Ability to multi-task in a fast-paced environment Flexibility to deal with changing schedules and priorities is a plus.
  • Excellent communication skills: oral, written and listening skills. Ability to maintain a high level of confidentiality. Ability to work with remote team members and hiring managers
