About this job

Qualifications:

Education: Requires a High School Diploma or General Education Degree (GED); Prefer college or technical school coursework in accounting or business administration.

Experience: Requires a minimum of six months of general office or accounting experience with data entry and customer service skills. Prefer previous experience in a feed mill or manufacturing environment. Previous Southern States work experience a plus.

Job Description:

This job description is a summary of essential job functions and requirementsnecessary for the satisfactory performance of this position. Reasonable accommodation may be made to enable those with disabilities to perform the essential job functions and requirements.
  • Operate primary business telephone to receive calls from customers, business partners and other contacts. Speak in a courteous and professional manner. Determine purpose of call and provide information for general inquiries. Transfer calls to appropriate staff members. Take messages and schedule appointments as needed.
  • Receive customer feed orders. Effectively utilize the computer to accurately type order details into the order entry system. Follow mill procedures for order processing. Communicate specific customer requirements to the appropriate mill personnel. Schedule order pick up with customers. Coordinate deliveries with customers and independent trucking companies. Transmit and receive information or documents using telephone, computer, fax machine, e-mail, and US mail.
  • Regularly perform office assignments based on business need and as directed by management. Follow established policies and procedures. Functions may vary based on location and include but are not limited to:
    • Process computer generated reports for daily production and other key metrics
    • Type data into computerized billing system to generate invoices
    • Monitor and reconcile inventory of ingredients and feeds in the system
    • Schedule delivery of ingredients and other supplies
    • Issue credit and debit memos in accounting system
  • Effectively utilize office equipment including but not limited to fax machine, copier, printer, calculator, telephone system, and computer to receive, transmit, record, track, analyze and document information. Learn and effectively utilize office computer system and programs to maintain data accuracy and integrity.
  • Provide backup assistance for co-workers on various essential office functions in their absence.
  • Work safely as to not cause harm to yourself, co-workers, equipment, or inventory. Comply with OSHA Regulations, Southern States Environmental Health and Safety (EHS) standards, work rules and policies.
  • Perform all other job functions as assigned.
