PROJECT COORDINATOR & ADMINISTRATIVE ASSISTANT


POSITION SUMMARY

The Project Coordinator performs administrative and office support activities. Duties include fielding telephone calls, receiving and directing visitors, word processing, filing, and faxing and may supervise other staff. Will work with internal and external parties to organize the various components needed to initiate, run and conclude projects. Duties include coordinating schedules and activities, placing orders for supplies and services, and tracking progress and results.



KEY RESPONSIBILITIES

- Relieve management of administrative detail, all projects

- Coordinate work flow

- Update and chase delegated tasks to ensure progress to deadlines

- Take initiative in manager absence

- Keep projects on schedule

- Schedule product installations

-Maintain procedures manual to ensure consistent performance of routines

-Compose correspondence/reports for owner or manager signature

-Maintain detailed project records, electronic and paper

-Check deadlines on incoming requests and put preliminary work in play

-Process replies on own initiative or from bossesa, a"¢ direction

-Record and track projects, bids, and production process

-Handle all inquiries within capacity

-Provide back-up materials for callbacks

-Route calls elsewhere as needed

-Inputs information from a variety of sources into a computer database. May take customer orders and enter them into a pre-established tracking system

-Duties include receiving and placing telephone calls

-Maintains solid customer relationships by handling their questions and concerns with speed and professionalism

-Utilize research skills to trouble shoot customer problems

QUALIFICATIONS & REQUIREMENTS

-5+ years of progressive project coordination experience, preferably in construction and/or manufacturing

-Advanced software skills (Microsoft Outlook, Excel, Access and data entry) are required, as well as Internet research abilities

-Requires excellent communication skills and extensive knowledge of database and project management software skills

-Independent and responsive to input, diplomacy and persuasion, ability to find common ground and resolution with individuals and entities internally and externally

-Occasional overtime required
