POSITION SUMMARY

Provide a wide variety of administrative support for a manager, multiple managers or departments. Compose correspondence, compile & analyze data, manage calendar and is a delegate for Manager activities

Screens telephone calls, answers routine questions and furnishes information(*)

Opens, sorts, distributes, scans, organizes, prioritizes and responds to mail

Coordinates calendars; scheduling meetings, room reservations, hospitality arrangements

Operates and maintains various office equipment

Orders and maintains office supplies

Organizes and maintains files of supervisor's correspondence, records etc. following up on pending matters

Coordinates land and air travel arrangements

Produces a variety of correspondence, reports, and presentations using the appropriate software

Delegate for Manager Activities (i.e. HR changes, Time and Attendance etc.)

Collects, compiles, and analyzes data and provides summaries and observations to manager

Budget coordinator: monitors, tracks, and researches

Assists in preparing required budget reporting (e.g., variance)

May participate in special projects

Significant portion of duties may be in support of advanced technical discipline

Coordinates office facilities including space, lease, furniture, equipment, building and telephone system maintenance

Involved in HR activities for the unit including; job posting, recruiting, interview process, new hire installation, office setup, annual comp process, organization hierarchy, time and attendance, etc.)

Mentors less experienced administrative support staff

Must be proficient with Microsoft Office Suite

BACKGROUND/EXPERIENCE desired:

1-3 years administrative or technical support experience.

EDUCATION

The highest level of education desired for candidates in this position is a High School diploma, G.E.D. or equivalent experience.
