SUMMARY:   Provide support to the Sutter Street and West Coast DC Hub and remote Hubs operations management team and HR team in the administration of timekeeping and attendance calendars.

 

ESSENTIAL DUTIES AND RESPONSIBLITIES DEPENDING ON LOCATION:

  • Responsible for the accuracy of the timekeeping records for the Sutter Street and West Coast DC Hub and remote Hubs operations.
  • Reviews the Kronos daily and weekly timecards for accuracy and completeness.
  • Receives associates’ benefit time requests from managers and enters benefit time into the timekeeping system and record on associates’ attendance calendars.
  • Maintains correct associate schedules in timekeeping system.
  • Verifies that managers approve their associates’ time within the designated timeframe.
  • Notifies managers if there are any discrepancies in missed punches, badge malfunctions and work schedules.
  • Sends check requests and payroll adjustments to Payroll, as required in the case of payroll errors.
  • Prepares Kronos Exceptions reports.
  • Provides Kronos training to management as needed.
  • Assists associates and management with inquiries regarding payroll discrepancies, pay, hours, overtime, retro, and available benefit time.
  • Notifies management to approve Kronos once the weekly timekeeping has been verified for accuracy/approvals.
  • Updates associates’ attendance calendars on a daily basis and informs managers of point accumulations and any required discipline to be issued.
  • Responsible for quarterly perfect attendance audits.
  • Responsible for ensuring continued compliance with all local, state and federal employment laws and regulations. Notifies managers if there are any meal break violations and assist in processing meal break premiums.
  • Works harmoniously and cooperatively with peers and management.
  • Other duties as may be assigned.

 

MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED:

  • Associates Degree preferred. 
  • Good computer skills including Microsoft Word, Excel and timekeeping system, preferably Kronos. 
  • Excellent math skills with the ability to calculate minutes into hundredths.
  • Two to three years payroll and/or timekeeping experience and working knowledge of wage and hour laws.

LANGUAGE SKILLS: Must be able to read, write and understand English.  Requires the ability to follow verbal and written instructions, guidelines and objectives. Requires the ability to read, comprehend, analyze, and interpret general business information, governmental regulations, and technical/trade journals.  Requires the ability to write reports and communicated effectively using telephonic, written, and electronic means.  Requires the ability to effectively and respectfully present information one-on-one, small, and large group situations to customers, management and associates of the organization.

MATHEMATIC SKILLS: Requires the ability to calculate figures.  Ability to apply concepts such as fractions, percentages, rations and proportions to practical situations.  Must be able to read and interpret financial data including payroll journals.

REASONING ABILITY: Ability to define problems, collect data, establish facts, draw valid conclusions and develop solutions/strategies.  Ability to interpret an extensive variety of information or instructions with several undefined and some concrete variables.  Must be able to understand business/financial data and develop innovative solutions.

MANUAL DEXTERITY: Must have average levels of eye/hand/foot coordination.  Must be able to utilize a computer.  Requires the ability to use a variety of office machines and equipment.

PHYSICAL DEMANDS:  Must be physically able to operate computers, copy machines, facsimile machines and other general office equipment such as a 10-key calculator.  While performing the duties of this job, the associate is frequently required to sit; use hands to finger, handle, or feel objects; key pad or papers, book and reach with hands and arms.  Associate is occasionally required to stand, walk.  Must be able to move, lift or carry heavy objects or materials up to 10 pounds.  Specific visual abilities required by this job include close vision, peripheral visions, distance vision, and color vision for extensive reading and interpretation of reports and documents.

PHYSICAL COMMUNICATION: Must have the ability to talk (expressing and/or exchanging ideas by means of spoken words) and hear (perceiving sounds of nature by ear).

WORK CONDITIONS AND HAZARDS: Work is regularly performed in a traditional office setting with occasional travel to work site for project management and inspections.  There may be exposure to airborne particles.  The associate occasionally works near moving mechanical parts and may be exposed to humid and hot conditions as well as cleaning chemicals.
