ABOUT THE COMPANY:

Rios Bain & Associates is a consulting firm located in Los Angeles, CA. RB&A will be providing advice to multiple organizations and businesses across California, on how to successfuly appeal their products to the Millennial Generation (people ages 18-31). The firm's main expertise is located in sales and marketing position optimization. This is a ground floor, start-up firm, and we look to maintain that culture in both our employees and our work environment.

ABOUT THE POSITION:

Our Senior Partners make all governing decision for Rios Bain & Associates, and are privileged to have executive access to our firm, and it's clients. We are currently searching for an Executive Secretary to lead clerical staff, and preform high level office management and scheduling tasks, as assigned.

The Executive Secretary will:

-Compile, transcribe, and distribute minutes of meetings.
-Attend meetings, as requested, in order to record minutes.
-Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping, in order to aid the Senior Partner.
-Meet with individuals, special interest groups and others on behalf of the Senior Partner.
-Manage and maintain the Senior Partner's schedules.
-Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
-Set up and oversee administrative policies and procedures for office.
-Supervise and train other clerical staff.
-Review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
-Interpret administrative and operating policies and procedures for employees.
-Prepare agendas and make arrangements for committee, board, and other meetings.
-Make travel arrangements for the Senior Partner.
-Conduct research, compile data, and prepare papers for consideration and presentation by the Senior Partner, committees and the firm's Board of Directors.
-Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
-Open, sort, and distribute incoming correspondence, including faxes and email.
-File and retrieve corporate documents, records, and reports.
-Greet visitors and determine whether they should be given access to specific individuals, including the Senior Partner.
-Prepare responses to correspondence containing routine inquiries.
-Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.

A SUCCESSFUL CANDIDATE WILL:

-Be experienced with Microsoft Word, Excel, Powerpoint, Outlook, and other MS Office Suite programs.
-Be experienced in customer service, and/or business studies.
-Have previous clerical, administrative, office management, or executive level secretarial experience.
-Have any combination of skills, education, and/or work experience, that would equal the ability to complete the tasks required of the position at outstanding levels.

SALARY:

The Executive Secretary to the Senior Partner will be paid $20.79/hr depending on experience. Work days are M-F 9:00 AM-5:00 PM. We are a potential above degree firm, and value/reward passion, results, commitment, and a will to succeed/improve.

Paid sick and maternity leave, as well as four weeks of vacations are included and guaranteed at employment.
