This Administrative Assistant position is located at the Cargill Campus in Gainesville, GA. The Administrative Assistant is responsible for providing accounting support, processing operations reports, providing Human Resources support, payroll administration, Environmental Health and Safety support and general administrative support. Interacts on a regular basis with all location personnel.

Essential Duties

* Responsible for location payroll administration including accurate, current employee record management in the KRONOS time reporting system. Process weekly time records ensuring compliance with company policies; approve and submit hours to Minneapolis. Provide weekly audit report to supervisors/location management for their review and signature. Ensure back-up process is in place and have back-up personnel process the payroll on a regular basis. Monitor vacation accrual package. Issue timecards to employees. Key contact for any payroll related issues for weekly payroll. Train supervisors and employees on KRONOS usage, as necessary.

* Maintain employee files in accordance with company policy. Ensure confidentiality of files including limiting access to appropriate management.

* Responsible for maintenance of Human Resources Information System, PeopleSoft, transactions for production employees including salary and job title changes, leave of absences, supervisory reporting changes, transfers, terminations including any vacation pay-out, and billing account changes.

* Support hiring processes by maintaining job files, posting positions, coordination of pre-employment processes such as scheduling physicals. Assist with on-boarding and orientation for new employees including completion of paperwork and sending paperwork to Payroll. Secure intern/coop housing, coordinate move-in & out activities.

* Provide administrative support for employee leaves including processing employee FMLA documentation. Ensure employees receive documents in a timely manner and process per business unit guidelines.

* Prepare operational/accounting reports such as Daily Yields & 7 Day report, monthly energy reports (facility, master energy, and Manis report): gather data and enter into spreadsheet; Take monthly coal inventory and meter readings for facility. Make journal entries into JDE from energy report. Prepare Crush process report and P-1 for facility. Complete Plant Capacity Utilization report.

* Process Workers' Compensation per company policy. Coordinate annual hearing and respiratory testing. Administer safety boot and safety glasses program. Schedule any necessary training with outside vendors as necessary.

* Provide support for Environmental Health and Safety Coordinator including ensuring temporary employees and contractor's complete training video and paperwork, annual safety and environmental audit. File employee safety training logs.

* AP processor duties for SAP POs

* General administrative duties including: Front desk receptionist, Track and process Non-Cash earnings report. Coordinate and event plan plant & facility events.

Required Qualifications:

* High school diploma or equivalent.

* Experience working in an office/plant environment and accounting/clerical duties.

* Intermediate level or above in Microsoft Excel, Word, Outlook and PowerPoint.

* Strong mathematical and analytical skills.

* Ability to effectively communicate in writing and verbally.

* Time management skills.

* Prioritize tasks and have good follow-up skills.

* Willing to accept accountability and work well in a team.

* Demonstrated ability to handle confidential and highly sensitive information.

Preferred Qualifications:

* Experience handling OSHA 300 logs and workers' compensation processing.

* Experience working with KRONOS time system.

* Knowledge of basic HR and Accounting rules and regulations & Previous SAP experience.
