Administrative Assistant II - SES (Clinic Supervisor)

The Administrative Assistant II supervises a very fast paced, high patient volume specialty care center. The position is responsible for the overall administrative function within the Specialty Care Center (SCC). In addition, this position directly supervises a group of eight Medical Assistants and co-manages sixteen total staff with the SCC's Office Manager.

Responsibilities include:

As a Supervisor; trains, motivates, evaluates and monitors the daily work activities of eight Medical Assistants. Motivates employees through coaching and training to improve the quality of work performed and to improve client satisfaction.

Ensures client registration, staffing and phone systems are adequately staffed and monitored during the day to day operation.

Expertise with the billing and contracted services processes within SCC.

Expertise with the laboratory process, including insurance information, specimen data entry, reporting and invoice processes.

Manages automated call distribution system to ensure client calls are handled on a timely manner and establishes performance measures for staff based on these statistics. Reviews and analyzes worker productivity and performance on a monthly basis.

Provides customer service recovery activities for customer complaints and acts as a client advocate.

Reviews annual Q/A team audit results and completes corrective action plan addressing Specialty Care Center deficiencies. Monitors corrective action steps to ensure goals of call center and the Disease Control Division are being met.

Conducts and/or attends health related meetings, staff meetings, committees, and work groups. Assists with outreach activities, health fairs and other community activities as needed.

Minimum Qualifications:

At least 3 years of supervisory experience in a clinical setting

At least 3 years of customer service experience

At least 1 year of purchasing/ordering experience

At least 3 years of working with private and public health insurance (e.g., Medicaid, Medicare, private or other 3rd party insurance)

Other Desirable Qualifications:

Fluent in Spanish -- Bilingual

Current State Employees - Salary for current employees is based on employee's current payband/ paygrade. Salary for promotions will be based on budget availability and Senior Management Team approval.
