Job overview

The Accounting Clerk is responsible for ensuring the key functions of revenue, cash, accounts receivable, and accounts payable are completed in a timely and accurate manner.

Requirements

Education & Experience:

  • At least 2 years related experience in hotel accounting or hotel front desk area, or combined, with a high school diploma. College courses in an associate field preferred.
  • Knowledgeable in the use of front desk and food/beverage computer systems.
  • to understand and utilize calculators and computer equipment and applications, to include word processing and excel spreadsheet applications.

Physical requirements:

  • Able to work on week-ends, holidays, and/or different shifts.
  • Flexible and long hours sometimes required.
  • Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

What you will be doing

  • Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
  • Maintain regular attendance in compliance with Buena Vista Palace Hotel & Spa standards, as required by scheduling, which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which include wearing the proper uniform and nametag when working.
  • Comply at all times with Buena Vista Palace Hotel & Spa standards and regulations to encourage safe and efficient hotel operations.
  • Maintain a warm and friendly demeanor at all times.
  • Employees must, at all times, be attentive, friendly, helpful, and courteous to all guests, managers, and fellow employees.
  • Audit and balance all revenue, cash and credit card transactions of all cashiers.
  • Develop a working knowledge of night audit functions and able to produce night audit reports.
  • Monitor hotel revenues to ensure the accurate recording and report variances to Accounting management.
  • Monitor and audit internal financial controls associated with the income stream (revenue posting, package handling, adjustment posting, cash handling).
  • Monitor all accounting office purchases, proper utilization and maintenance of accounting office equipment, records storage and management.
  • Comply with the Daily Income Audit checklist and ensure that critical operational procedures are accomplished on a daily basis to include credit card reconciliation and transmission, daily deposits, cash over/short reporting, bank audits, allowances and paid outs, etc.
  • Communicate with the Rooms Division to minimize allowances, declined credit cards, unauthorized rate adjustments, maximize complete property backup for all paperwork, credit card transactions for all Guest Service Agents.
  • Participate in month-end financial statements closing and in general ledger accounts reconciliation.
  • Develop a working knowledge of the accounts payable and accounts receivable positions and functions and be able to perform these duties in the event of vacation, absence or turnover.
  • Performs other general accounting functions as may be required by Management.
  • Monitor and prepare accounting reports in accordance with requirements meeting various due dates and deadlines, i.e. Daily Revenue Report, Cash Over/Short and Daily Income Journal.
