About this job
Provides advanced and confidential administrative support to the President/Chief Executive Officer including appointment scheduling, project management support, and preparation and maintenance of correspondence, records, and other complex documents (including a detailed, central office filing system). With direction from the President/Chief Executive Officer, provides staff support to Board and staff meetings, including timely material preparation, minutes, and completion of required follow up. The career-minded and polished professional will have significant interaction with high-profile healthcare, public health, government, business, and education sector leaders. The Executive Secretary must be highly competent, motivated, professional, and thoughtful in a fast-paced, team-oriented small business setting.
ESSENTIAL FUNCTIONS:
- Manages CEO's calendar and independently schedules appointments and meetings required, including the ability to coordinate meetings with numerous other executive calendars
- Manages and prioritizes CEO's incoming mail and telephone messages
- Screens incoming calls and correspondence and responds independently when possible
- Directs preparation of records such as agenda, notices, minutes and resolutions for CEO meetings and Board meetings and attends additional meetings at CEO's request
- Acts as "gatekeeper" to CEO's office.
- Composes and prepares confidential correspondence, reports, and other complex documents (mainly using Microsoft Office Suite applications and Google Applications such as Google Calendar, Drive, etc.). Related assurance of record keeping via office's central and confidential filing system required
- Prepares staff meetings with agenda, room arrangements, notice, minutes, etc
- Maintains monthly committee & task force meeting schedule to ensure deadlines are strictly adhered to by all staff for all deliverables
- Maintains and updates procedure manual and file directory, including creation of new files as required
- Maintains partner database, including board, committees, and newsletter lists
- At times, plans and coordinates large events such as public annual meetings, Board retreats, etc.
- Drafts and sends media releases
- Coordinates/directs front desk staff and support staff
- Completes supply ordering, including annual quote procurement as required
- Clerical/Admin support to GFHC Board
- Assists/fills in for other positions as directed
- Performs other duties as required
- Ability to maintain confidentiality of sensitive / discrete information at all times
