JOB DESCRIPTION: Under the supervision of the Deputy Director within Field Operations, the Staff Services Analyst will perform the less complex analytical tasks and administrative services for the Director, Deputy Director, and Correctional Administrator. The incumbent must demonstrate the ability to evaluate and analyze situations accurately and take effective action, and exercise a high degree of initiative, independence, and originality in performing assignments.

ESSENTIAL FUNCTIONS:

40% Assist the Director, Deputy Director, and Correctional Administrator with and relieve them of the administrative details of their duties when appropriate and in their absence. Maintain and monitor assignments initiated by the Director/Deputy Director/Correctional Administrator, and prepare status reports on the disposition of each. Log and track documents requiring signature approval, and with minimal direction, compose and review correspondence, identify priority of items of critical concern, and assign to appropriate staff for action and/or preparation. Ensure quality assurance and consistency of completed staff work submitted to the Director/Deputy Director/Correctional Administrator for review and approval. Review, analyze, and respond to correspondence from internal and external sources for issues of importance, assign correspondence and establish due dates. Assist in analyzing, researching, developing, and providing technical expert consultation and summarizing information to be used as briefing and/or reference material for meetings and distribution to the Field Operations staff.

30% Assist in developing, analyzing, maintaining, and monitoring detailed reports, and tracking departmental statistics utilizing existing database applications or excel spreadsheets to provide to management. Assist in coordinating and maintaining staff meetings, develop agenda and supporting documentation for meetings, coordinate video conferencing needs, take minutes, compose drafts of proceedings, prepare all back-up material, schedule conferencing participants and meeting space location for all meetings on and off site. Send out meeting requests utilizing MS Outlook, set-up electronic equipment and facilitate conference calls and/or web meetings as needed. Liaison with CCHCS and CDCR staff and institution/facility staff as necessary. Develop and maintain a filing system that allows for easy retrieval of documents.

15% Manage projects with the Director/Deputy Director/Correctional Administrator by preparing action plans resulting from meetings and directives as appropriate. Assist with the implementation of new program policies and procedures, and prepare various administrative reports. Assist in handling all needed travel arrangements for the Director/Deputy Director/Correctional Administrator as well as the Captains and retired annuitant staff, including travel itineraries, travel claims, and travel justifications if needed. Arrange for ground and/or air transportation and lodging.

10% Assist in assigning and directing the ongoing workflow of the clerical support and planning standards to Field Operations clerical staff, as priorities and deadlines fluctuate. Research, develop and update various program policy and procedure manuals and desk procedures. Screen, redirect, and/or respond to telephone calls. Handle the less complex questions from callers and route to appropriate staff. Order supplies and complete inter-office requests for purchases of specialized goods. Initiate and receive purchase orders of goods and services through the Office of Procurement Services.

5% Provide back-up clerical and analytical support to Corrections Services program areas as needed. Assist and train new support staff. Perform other related duties as deemed necessary by management
