Multi-State Payroll Specialist job duties will include:

  • Overseeing payroll for all salaried, hourly and off shore employees

  • Processing a bi-weekly, Multi-state payroll utilizing an QuickBooks Online & ADP Enterprise system

  • Compiling and maintaining all employee payroll data

  • Maintaining "time off" data that includes vacation time, sick days, personal days and other paid-time-off information

  • Processing wage garnishments, child support orders and tax levies

  • Assisting with the payroll administration aspects of the company’s 401K

  • Processing scheduled wire transfers for all required payroll tax transmittals

  • Recording of payroll and related journal entries to Quickbooks based on ADP supplied reports

  • Summary schedules to management regarding payroll expenses

  • Assisting and cordinating receipt of approved time sheets that are necessary for payroll and invoicing

  • Assisting with special projects as needed

The skills and experience needed include:

  • At least five years of experience with a payroll

  • Experience processing salaried and hourly employees

  • Experience processing a multi-state payroll

  • Experience using QuickBooks Online & ADP Enterprise software

  • Process pay runs according to required schedule; assist in the maintenance of payroll-related accounts.

  • Respond to questions and special requests from employee and management regarding payroll items.

  • Balance earnings and deduction totals, calculate and prepare general ledger entries, inspect automated system output, determine and correct out-of-balance conditions, prepare and file tax reports, gather payroll data for inclusion in financial statements, and research and prepare special reports for management.

  • Coordinate and complete payroll tax activities, ensuring compliance with local, state, and federal regulations and payment and filing of local, state, and federal payroll tax returns.

  • Understand garnishment laws to ensure correct priority setting and timely remittance of all child support, levies, and garnishments.

  • Prepare various accounting papers, schedules, exhibits, and summaries, and journal entries.

  • Understand and complete maintenance of PTO and related records, including holidays and vacations.

  • Work with Information Systems department and other departments to ensure successful implementation of payroll system updates and revisions.

  • Maintain a high degree of discretion in handling confidential/sensitive information and exercise initiative in all assigned areas, high integrity, and accountability standards.

  • Create and maintain good communications (verbally and in writing) and relationship with other Company departments, branches, employees, outside vendors, and customers by addressing and resolving concerns quickly.

  • Perform other duties as needed, directed, or assigned.
