Responsibilities* Provide highly responsible and skilled secretarial support to faculty members in the Division of Acute Care Surgery.

Responsibilities:

1. Exercise initiative, independent judgment, diplomacy, a service-oriented attitude and follow-through in providing general secretarial support with excellent attention to detail and the ability to prioritize and to meet deadlines in a timely fashion.

2. Utilize discretion and appropriate judgment regarding sensitive and/or confidential matters.

3. Maintain faculty calendars, interviews and other appointments/engagements for both internally and external interactions, including a variety of professional societies and journals.

4. Schedule all regular meetings; coordinate speaker topics, announcements, rooms, catering.

5. Maintain curriculum vitae for faculty including biosketches for grant applications.

6. Retrieve information on-line and from the Medical Library.

7. Provide financial reconciliation for ATLS program.

8. Manage call schedule input and updates

9.Coordinate complex travel arrangements for faculty, staff and visitors using Concur.

10. Screen, prioritize and route all written and electronic correspondence, verbal requests, phone calls, and outside requests, responding and/or acting on behalf of faculty where appropriate.

11. Assist with the development of slides, detailed medical illustrations, graphics and other presentation materials.

12. Maintain filings system, sort and route mail.

13. Provide coverage for other administrative assistants as needed.

14. Transcribe and edit all internal and external correspondence, manuscripts, grant applications and reviews.

15. Procure goods, services, renew licenses, certifications, memberships, and subscriptions using UM Purchasing Card; reconcile P-Card statements using M-Pathways.

16. Reconcile Statement of Activity for CME and other project/grants as assigned.

17. Other duties as assigned.

Required Qualifications* High school diploma with considerable progressively responsible secretarial experience. Must have strong computer skills along with exceptional written and verbal/interpersonal skills. Strong organizational skills and the ability to successfully complete multiple tasks within established and changing deadlines are required. Attention to detail and follow-through and meeting deadlines with time-management and multi-tasking skills necessary. Must be able to work independently with minimal supervision and as part of a dedicated team. Ability to make complex travel and conference arrangements. Must be proficient in use of PCs and software including Microsoft Word, Excel, PowerPoint; Acrobat and Acrobat Reader.

Desired Qualifications* Bachelor degree strongly preferred. Knowledge of CareWeb, MiChart, MyChart, and Concur, are desirable.

Work Schedule Hours/Shift: 40 hours per week / Monday through Friday
