Job Summary Provide administrative support to Urology physicians in a busy academic administrative setting. Utilize technical and business vocabulary, detailed knowledge of University computer systems (MiChart, Outlook, Concur, and MCV), and proficient knowledge of computer software programs (Microsoft Word, Excel, Power Point). Draft letters of medical necessity, assist in processing disability paperwork, prep, process, and obtain physician directive on patient return to work notes. Schedule meetings and accurately maintain Outlook appointment calendar. Take minutes at designated meetings. Compose, edit and process highly confidential correspondence. Respond to inquiries or complaints regarding matters of a sensitive or confidential nature. Provide office and back up secretarial support service as well as office coverage. Use effective communication skills and relate positively with patients, faculty, staff, and others within a diverse setting.

Responsibilities* - Provide advanced, diversified, and confidential secretarial and administrative support to Urology faculty member/s.

- Maintain Physician's calendars schedule appointments and exercise discretion and judgment as to priorities.

- Maintain Away Schedules for physicians and physician assistants.

- Schedule complex and routine meetings.

- Organize and prepare background materials for meetings.

- Draft and type emails, letters, memos, faxes, proposals, reports and other documents as required.

- Screen, prioritize and/or respond to phone calls, mail, and emails and handle independently as appropriate.

- Make travel itineraries, arrangements, promptly prepare and submit travel expenses.

- Fill out disability paperwork.

- Organize and maintain physician's academic files.

- Fax outside records into MiChart.

- Maintain Providers Curriculum Vitae (CV)

- Renew subscriptions, pay society dues, order books and other office equipment as requested by physicians.

- Retrieve information from the Medical Library.

- Triage patient calls to nursing staff or physicians as appropriate.

- When requested by physician, obtain outside radiology films and pathology slides.

- When requested by physician, schedule diagnostic studies and track results.

- Respond to requests for medical information from referring physicians.

- Open and sort physician's mail.

- Sort departmental mail as needed.

- Sort departmental fax server as needed.

- Make photocopies as needed.

- Troubleshoot photocopy and fax machines.

- Provide coverage for other secretaries when they are unavailable.

- Deliver and pick up physician lab coats from Laundry Services.

- Order new lab coats.

- Order and maintain supply of physician's business cards, letterhead, and envelopes.

- Other duties as assigned.

Required Qualifications* - High School diploma or an equivalent combination of education and experience is necessary.

- Knowledge of PC's and desktop software with accurate typing speed of 50 wpm.

- Proficient user in Microsoft Word, Excel, and Power Point

- Basic experience with e-mail systems and calendaring systems.

- Proficient in grammar, spelling, and punctuation.

- Basic medical terminology competency is necessary.

- Demonstrated friendly, warm, articulate telephone manner with a clear, well-modulated speaking voice.

- Strong interpersonal and communication skills are necessary.

- Ability to manage stress effectively.

Desired Qualifications* Knowledge and experience using the MiChart, Outlook, Concur, and MCV.
