LSA Shared Services is seeking an experienced administrative professional to support the programmatic activities of various LSA units. This position is full time. Please visit www.lsa.umich.edu/sharedservices for more details about LSA Shared Services.

Responsibilities* Key responsibilities include, but are not limited to the following:

Event Planning: Facilitate planning of a range of events from department conferences to smaller lecturers and seminars. Work closely with faculty, staff and students to plan for catering, hosting, venue reservations, travel accommodations and other details. Communicate with guests regarding itineraries and travel arrangements. Prepare invitations and maintain attendee lists.

Event Logistics: Arrange travel including airfare and ground transportation. Coordinate hosting activities for catered events, dinners and receptions. Locate and reserve venues to accommodate desired attendees. Prepare itineraries for speakers. Identify audio-visual requirements for speakers and ensure proper set up. Communicate details effectively with departments and guests. Coordinate post-event evaluations. Supervise temporary assistants where applicable.

Event Financials: Coordinate related financial activities with the appropriate LSA Shared Service office; including p-card receipt submissions, honorarium payments and guest reimbursements. Develop event budgets in partnership with department sponsors and manage all event related expenses.

Manage Communications: Plan and produce event collateral including posters, fliers, brochures, invitations, and programs as needed. Update event related information on department websites. Identify proper social media outlets tailored to the appropriate target audience. Update and maintain publicity related email groups. Partner with local media outlets such as the Ann Arbor Observer and M-Live and campus media including the Michigan Daily and UM Record. Coordinate with other units across campus to ensure that events are well publicized and attended.

Required Qualifications* Two to four years of relevant event and marketing experience, including event planning, preparing communications, managing event budgets and deploying the latest technologies. Demonstrated ability to create and edit a variety of promotional materials in digital and hard copy formats. Attention to detail, multitasking, and proven ability to meet deadlines. Excellent oral and written skills. Demonstrated ability to interact professionally with a diverse group of faculty, staff and students, providing a high-level of customer service. Flexibility, adaptability, patience, and the ability to work collaboratively will be essential to working effectively in our team oriented environment.

Desired Qualifications* College degree preferred. Experience with graphic design applications including Photoshop, Illustrator, Publisher or other digital imaging software is strongly desired. Experience developing and managing websites and familiarity with Content Management Systems (CMS) is also preferred. Experience working with social media desired.
