Executive Administrative Assistant
Honeywell has an immediate need for an Executive Administrative Assistant position within Honeywell Fire Safety (HFS), a strategic business unit of Automation Control Solutions (ACS). This position will support several executives on the global leadership team including the Vice President/General Counsel, Vice President of Human Resources, and other executives as needed. This position is responsible for proactively managing a wide range of executive and administrative duties and processes required to directly support the executive leadership team. Will be responsible for frequent management of multiple, complex and/or high-priority projects concurrently, which require considerable coordination, discretion, and follow-through to successfully meet requirements.
Other responsibilities include:
* Schedule appointments and meetings and closely maintain calendars
* Make complex travel arrangements (domestic and international) and ensure prompt and accurate completion of travel and expense reporting
* Handle sensitive business communications, data and other information with confidentiality and discretion
* Maintain on-line team rooms and other leadership communication tools
* Maintain strong communications and network within the HFS and ACS administrative teams regarding issues of travel, meeting schedules, report completion, etc
* Utilize knowledge of company operations, policies, and department functions to perform assigned duties, proactively and with minimal direct supervision
* Create and maintain a strong Management Operating System (MOS) to ensure performance and priorities are aligned
* Other project work, as assigned
Basic Qualifications:
* Minimum of 5 years experience to include direct support of executive leader or leadership staff.
* 5 years of experience with software programs including MS PowerPoint, Excel, Outlook and Word.
* 1 year of experience coordinating international and domestic travel. 1 year of administrative legal experience.
* 1 year of experience coordinating/managing events including multiple 3rd party vendors, transportation logistics and other complex event planning requirements.
Additional Qualifications:
* Two or four-year degree in business, economics or related field.
* Handle multiple tasks simultaneously and autonomously
* Work efficiently and effectively in a high-pressure environment
* Ease of working in multiple databases as needed to assist in contract management (Ariba experience a plus), as well as third party legal vendor billings management.
* Previous experience working with legal documents, including NDAs and contracts, and management of outside legal vendor billings
* Demonstrate executive presence, maturity and sound judgment, along with the ability to maintain a high degree of confidentiality
* Strong problem solving skills including ability to proactively anticipate requirements and identify/mitigate potential issues before they occur
* Detail orientated with expertise establishing/maintaining organized administrative processes and systems
* Ability to effectively and comfortably communicate with internal customers from diverse cultural backgrounds across the globe
* Enthusiastic with a positive outlook and "can-do" attitude
* Willing to work extended hours/schedules as needed. Strong written/oral communications skills, including proficiency with timely consolidation and distribution of reports and meeting agendas, minutes, action items, etc.
