Job Summary Description:

This position is in the Department of Otolaryngology-Head and Neck Surgery (Ear, Nose, and Throat), a highly complex surgical department with 50+ faculty, midlevel and ancillary providers. The individual selected for this position will provide administrative support to four senior faculty members and one fellow. The ideal candidate will possess great attention to detail, the ability to solve problems independently, a high level of proficiency with PCs and office productivity software, strong oral and written communication skills, and the ability to organize, track, and assist with a steady stream of documents. This is an exciting opportunity for an administrative assistant interested in working directly with highly motivated faculty on research projects, academics, and publication preparation. This position will join a team of 11 administrative assistants and will report to the Office Manager.

Responsibilities* ? Updates faculty curriculum vitae (CV) according to the University of Michigan Faculty Affairs

guidelines in both Word and MCV.

? Maintains biosketch, other support, and grant related documents.

? Prepares, edits, and submits manuscripts, abstracts, chapters, grants, and presentations.

? Organizes and maintains faculty academic and research files, including Endnote libraries, photo

databases, and extensive electronic filing systems.

? Tracks faculty away time and communicates with the appropriate parties to ensure clinics/ORs are

closed and/or opened.

? Maintains detailed faculty calendars and coordinates schedules, meetings, lectures, and events.

? Receives, processes, formats, and edits a variety of professional correspondence.

? Routes telephone, fax, mail, and e-mail communications.

? Maintains listing of CME credits.

? Generates expense reports and reimbursement requests in accordance with Health System

Reconciliation Guidelines.

? Processes dues, subscriptions, renewals, and license payments.

? Completes patient FMLA, disability, insurance, and related paperwork and correspondence.

? Orders office supplies, business cards, lab coats, and other items as requested.

? Prepares complex travel itineraries including registration, accommodation, transportation, visa

procurement, and travel registry updates.

? Coordinator of the Department?s American Academy of Facial Plastic and Reconstructive Surgery

Fellowship Program. Organizes the annual interview process, completes credentialing

documentation, operative logs, fellow evaluations, and all related society correspondence and

documentation.

? Provides coverage for unavailable administrative assistants.

? Performs special projects as assigned by the Office Manager and faculty.

Required Qualifications* ? Bachelor?s degree in health care administration, business, human resources or related field, or

equivalent experience in a healthcare setting.

? Two to three years? experience with Microsoft applications including Word, PowerPoint, Outlook,

and Excel.

? Experience with Concur, MCV, EndNote, PubMed, Google Scholar, Adobe Creative Suite, and

Epic/MiChart.

? Excellent verbal/written communication skills.

? Demonstrated ability to work independently and cooperatively, prioritize and complete tasks in a

timely manner.

? Demonstrated ability to do exceptional tracking and follow up with excellent attention to details.

? Demonstrated ability to multitask in an environment of shifting priorities with a high degree of

accuracy.

? Demonstrated ability to successfully prepare and submit manuscripts and book chapters for

publication.

? Demonstrated ability to maintain and organize extensive electronic file records and leverage

technology to complete tasks efficiently.

? Proven ability to work well with faculty.

Desired Qualifications* ? Three to five years? experience in performing responsible office duties or an equivalent combination of

education and experience in a health care setting.

? Knowledge of LEAN, Six Sigma or other quality improvement tools.

? Knowledge of University of Michigan Health System policies and procedures.
