Job Summary 4 C Cardio Thoracic Step Down unit is currently seeking a full-time, Monday through Friday, Administrative Assistant Senior to provide highly responsible and complex support to the 4C Nursing Leadership and staff.

Responsibilities* Perform routine administrative activities with limited authority to make commitments on behalf of 4C. Enter timekeeping data for regular, temporary, float and agency staff. Monitor the bi-weekly and monthly payroll process, including the gross pay registers, initiating corrective action with Payroll or other units/departments, when needed.

Maintain and reconcile detailed budgets and inform 4C nursing management of any irregularities.

Monitor and approve office supply expenditures within prescribed parameters.

Prepare projections of routine office supply, staff reward and recognition, etc., expenditures.

Process staff work-related expenses, advances, reimbursements, non-PO vouchers, unit cash deposits and gifts.

Process staff tuition payment requests, leave of absence paperwork, Personal Time Off (PTO) requests, and other Human Resource and Occupational Health Services personnel forms and processes.

Create and maintain personnel and financial spreadsheets, ledgers and forms at the request of 4C Nursing Management and UMHHC policies/procedures.

Create, revise and distribute staff work schedules according to contractual, unit and department guidelines.

Participate in the recruitment of candidates, coordination of interviews and hiring process.

Respond to inquiries and concerns received from staff, faculty, students, patients, outside agencies and public which require interpretation of policies, procedures, guidelines, etc. and refer to 4C nursing management, as needed.

Prepare electronic education course registrations. Submit staff attendance. Obtain group and individual staff attendance data for 4C nursing leadership.

Coordinate the use of 4C conference room or facilities, equipment and services.

Respond to inquiries and provide advice and assistance related to routine personnel requests or actions.

Assist in the development, implementation and interpretation of routine unit processes.

Maintain staff personnel records.

Attend 4C meetings to record, complete and distribute minutes to attendees.

Required Qualifications* At least 4 years of recent administrative and secretarial experience in the past 5 years.

Proven ability in responsibly fulfilling requests and duties in a timely manner.

Excellent verbal and written communication skills, customer service and interpersonal skills and an ability to interact with a wide variety of individuals.

Ability to learn and work independently and in teams.

Ability to set workload priorities, independently.

Excellent organizational and multi-tasking skills.

Demonstrated attention to details despite interruptions.

Work with others in developing, improving and implementing 4C processes to ensure compliance with UMHHC policies, procedures and regulatory agencies.

Proficient in computer skills, including MS Word, MS Excel and electronic mail.

Must be dependable, exercise initiative and use sound judgment.

Ability to maintain confidentiality.

Dependable attendance record.

Desired Qualifications* Experience with MS PowerPoint, MS Publisher, Visio, and Access.
