Job Description

Position Overview:

This role will work under the supervision of the Sr. Legal Counsel and support the Director of Divisional IT at the Siemens Rail Systems facility in Sacramento.

Job Family Responsibilities:

-Calendar management for both leaders. Manage incoming phone calls.

-Completes management of all documents, files and records including maintaining, opening and tracking files, or assigning docket numbers.

-Insures all necessary documents are finalized and signatures obtained for filing.

-Assist in the coordination of invention disclosures and patent applications with contract managers, Administrative Assistants or departments to insure all data is accurately entered into databases.

-Coordinate and maintain records for staff, office space, telephones, company purchasing card and office keys.

-Supports document preparation for Legal and IT Departments. Proof-reads and edits documents.

-Provides various reports from data bases. Monitors department SharePoint sites.

-Organizes and sets up meetings/conferences for Legal and IT Departments.

-Arranges all travel and processes expenses into the tool, orders office supplies, and manages budget against expenditures.

-Prepares and submits all expense reports for payment.

-Manages outside counsel billing and IT invoicing. Manages office supplies for departments.

-Assists in special events, such as fund-raising activities and holiday event planning. Occasional catering for meetings.

-Very little overtime.

Education, Knowledge and Experience:

- Minimum of 5 years' experience with a large corporation or law firm or comparable experience.

- HS diploma required. Associate's Degree, preferred. Specialized skill training/certification a plus.

- Very Proficient in Microsoft Office applications: Word, Excel, Outlook, PowerPoint

- Excellent communication skills. Proven ability to communicate effectively, clearly, and professionally.

- Strong organization skills demonstrated through good time management, record keeping and follow through on all requests. Proactive approach.

- Demonstrated ability to work successfully in a fast paced, deadline driven culture and to independently prioritize workload. Collaboratively work with others in developing a positive work environment.

- Self-driven and resourceful to achieve goals independently as well as work well in groups.

- Flexibility to adjust to changing requirements, schedules and priorities.

- Demonstrated analytical skills and attention to detail.

- Experience and/or ability to work with highly confidential information.

- Experience working with executive level staff members.
