Temporary Legal Secretary - 7/29 & 7/30

A small law office seeks a detail-oriented team player who can multi-task within a fast-paced environment.

Responsibilities:

Support Attorneys by providing administrative support. Maintain records and files. Set up and organize electronic and hard copy files and maintain databases. Assist with transactional matters of a legal nature. Provide additional support such as answering phones, relieving reception as needed, scheduling meetings and conference calls, scanning documents, preparing documents and tracking attendees for company workshops, reviewing and distributing incoming mail, transmitting outgoing mail and FedEx.
  • Sets up vendor, customer, company, administrative and litigation files as required, and designates disposition of files to storage as appropriate.
  • Maintains confidentiality of company and client information at all times.
  • Prepare exhibits and other documentation in an organized manner as assigned.
  • Type general correspondence, reports, legal briefs, memoranda and material of a general nature and documents specific to the legal area as required.
  • Proofread documents for grammar, spelling, punctuation, syntax and formatting consistency.
  • Prepare and revise presentations using PowerPoint software.
  • Familiarity with NYS and federal electronic court filing system
  • Prepare documents for transmission by regular mail, e-mail, messenger, air courier, as required.
  • Regularly check emails and advise attorneys of any matter that needs their general attention
  • Receive, process, and/or transfer telephone calls in a prompt and courteous manner.
  • Coordinate conferences, meetings and travel for staff, including scheduling, airline, car and hotel reservations, meals and preparation of materials as necessary.
  • Uses the Internet for research and general information as well as web-based programs.
  • Greet clients and other duties as required.


Education and experience requirements:
  • Hours: 9:00 AM to 5:30 PM with minimum overtime required
