Job Summary The Department of Learning Health Sciences (DLHS) is a first-of-its-kind basic science department focused on the learning sciences within health at all levels of scale: individuals, teams, organizations, and large-scale systems that span states and nations. The department has three divisions: (1) The Division of Learning and Knowledge Systems primarily focuses on learning at higher levels of scale. (2) The Division of Professional Education primarily addresses learning by individuals and teams in preparation for careers as healthcare providers. (3) The Clinical Simulation Center focuses on learning by individuals and teams in environments with advanced simulation technology that model the real world of clinical practice. The Department of Learning Health Sciences (DLHS) at the University of Michigan Medical School is seeking an Administrative Assistant Senior to provide to support to departmental faculty.

Responsibilities* Provide highly responsible and advanced administrative support to faculty in the Divisions of Learning and Knowledge Systems and Professional Education.

Represent the department to other university personnel and outside contacts. Screen, prioritize, and respond to correspondence regarding highly sensitive and confidential material. Develop and monitor schedules and calendars. Make arrangements for travel and process expense reports. Process employee paperwork and timekeeping records.

Coordinate complex logistical and travel arrangements. Assist in preparing faculty affairs documentation including, but not limited to, annual review and promotions. Work with faculty, department administrators, and Medical School Faculty Affairs to ensure required documents and support materials are provided, and timelines are met.

Coordinate department events and programs. Maintain department contact distribution lists. Create meeting agendas and capture meeting minutes. Respond to all meeting follow-up items in a timely and accurate manner. Develop and format spreadsheets, presentations, and papers for publications. Arrange conference calls. Support faculty with initiative, independent judgment, diplomacy, and follow through.

Support pre-award and post-award activities relating to university and sponsored grants and contracts, including bio sketches, CVs, budgets, and coordination of other documents related to the grant proposal process. Assist with data entry related to grants and other projects.

Assist with general business office activities. Assist with department equipment maintenance and supply needs. Participate in special projects, as required.

Required Qualifications* Bachelor's degree or an equivalent combination of education and work experience. Exceptional organizational, written and verbal communication skills. Exceptional interpersonal skills and the ability to work independently with minimal supervision. Ability to work and build professional relationships with faculty and staff at all levels.

Desired Qualifications* Some experience with university systems. Knowledge of UMMS and U-M policies and procedures.
