Plan and coordinate the schedule of day-to-day preventive maintenance and repair work requests of all properties by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Work Requests - Take calls, ask detailed questions, and listen carefully for specific details about problems and issues. Record work requests on appropriate forms, send to maintenance and follow through with close out of work requests. Ensure work requests are received and followed through by maintenance staff. Follow up on all work requests throughout the day and contact tenants to update status.
Work closely with vendors to ensure background checks are completed on employees in order to allow access to building prior to performing work on the premises. Work with Security Director to obtain approval.
Obtain Certificate of Insurance from all vendors prior to working on the premises and ensure proper coverage is maintained. Maintain certificates to ensure coverage periods are current.
Maintain and update frequent visitor list for building vendors. Work with proper personnel in order to ensure updates are entered properly.
Perform daily building checks of the vacant spaces to ensure there are no problems.
Assist with requests from tenant's for temporary ID badges as needed.
Maintain preventive maintenance information, all building plans and assist in vendor contracts and scheduling.
Submit all purchase orders and follow up on status of purchase order receipt and invoices to be paid.
Keep an updated inventory of all property stock items.
Create detailed record logs of all work requests, preventive maintenance scheduling, stock inventory and purchase orders for maintenance.
Inform maintenance and management on repeat problems or concerns.
Work closely with Property Manager, Assistant Property Manager and Building Engineer to ensure follow up on problem requests.
Coordinate with HVAC staff, as well as, Maintenance staff, in obtaining work requests for completion of service.
Assist in the development and maintenance of a functional computerized work order control system. Assist in streamlining work processes with staff to provide quality service.
Provide periodic reports of all open and closed work orders.

Requirements

High school diploma or general education degree (GED); and three to five years experience in maintenance trades or skills with emphasis on scheduling and organization of service requests for properties. Must have knowledge of the practices and principles employed in the building trades with emphasis on mechanical, electrical, and plumbing trades
