We are seeking a talented Executive Assistant (EA) to work closely with the company executive team to provide administrative or clerical support necessary to run the organization effectively. To be considered for this role, you must possess a high degree of personal integrity, be comfortable handling confidential information, and be motivated and disciplined to complete tasks within a quality environment while working in a fast-paced organization. You must exude calmness and a confident, focused, positive attitude, demonstrate exceptional problem solving and critical thinking skills, be an experienced multi-tasker with strong prioritization skills, and exercise a sense of urgency which drives results.

Roles & Responsibilities:

Screening telephone calls, and handling requests, and enquiries, when appropriate.
Maintaining and organizing diaries and planning and scheduling proper appointments and meetings.
Addressing incoming calls, post, email, and faxes.
Creating spreadsheets, composing correspondence, managing databases.
Creating presentations, documents, reports using digital graphics and desktop publishing software.
Organizing and facilitating company meetings and recording meeting minutes.
Making decisions in the absence of management or mangement delegee.
Conducting research and disseminating research information.
Supporting business development activities including the review of active and pending solicitations, marketing activities, and the development of business proposals and related contractual documents.
Maintaining and devising office systems, including filing, data management etc.
Organizing and maintaining electronic and paper files and managing projects.
Liaising with suppliers, clients, and other staff.
Negotiating with vendors, lessors, and managing purchasing supplies.
Providing orientation and training for new staff, conducting research on the internet, operating, and troubleshooting new office technologies.
