About this job

Reception
* Answer general phone inquiries using a professional and courteous manner
* Direct phone inquiries to the appropriate staff members
* Reply to general information requests with the accurate information
* Greet clients/suppliers/visitors to the organization in a professional and friendly manner and alert employee who is being visited
* Manage shipping and receiving
o Accept packages and send emails for any incoming packages
o Distribute mail to the appropriate person
o Coordinate shipping (pack, schedule)
o Receive and distribute mail
* Ensure office is orderly and neat to always present a professional working environment

Office Administration
* Order and distribute catering
* Complete travel arrangements for employees
* Distribute parking passes
* Coordinate key-card access for new/departing employees
* Provide parking validation, and reconcile and create report for accounting
* Ensure conference room is in an orderly manner, ready for use (computers, projectors, cables, etc. are available as needed) and appropriately stocked with beverages. Resolve scheduling conflicts. Maintain conference room calendars.
* Maintain inventory of and order office supplies as needed
* Coordinate in-office events
* Manage the 6380 Wilshire building relationship by writing, distributing and explaining building memos, requesting A/C overtime, etc.
* Coordinate new-hire office set up/moves
* Process Purchasing Requisitions for Marketing
* Manage marketing supplies storage including inventory and organization and storing and retrieving materials
* Coordinate with HQ Executive Assistants, as needed
* Data entry as needed
* Light web research

Assist with financial management
* Process receipts for Corporate card
* Process vendor invoices for Marketing
* Complete expense reports for Marketing Executives

Knowledge, skills and abilities

Proficiency in the use of computer programs for:
Microsoft Word, Excel, PowerPoint, Outlook
Internet
* Proficiency in the use of office equipment:
Computer
Voice messaging systems
Fax
Photo copier
Scanner

Requirements:
* Highly organized and attentive to details
* Effective planning and time management skills
* Demonstrates the ability to multi-task, set priorities, and meet multiple deadlines in a fast-paced environment
* Ability to follow-up and follow through
* Excellent customer service skills - must be welcoming, friendly, and with strong interpersonal skills
* Excellent computer skills, including Microsoft Word, Excel, PowerPoint and Outlook mail and calendar
* Ability to communicate professionally and respectfully in writing, on the phone, and in person
* Reliable, punctual, detail oriented, highly organized, self-starter, strong initiative, quick learner
* Minimum 3 years office experience, including secretarial, reception and computer
Ability to maintain professional appearance and behavior.
* Bilingual English-Spanish preferred
