Job Summary To provide assistance and perform routine administrative activities in conjunction with the operations in the Interventional Nephrology and Access Care units. Exercises considerable discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends.

Responsibilities*

General

To function as a liaison between the renal network and new end stage renal disease patients by completing and submitting required paperwork.

To provide support in completing non-patient care tasks as needed.

Assist Leadership with Unit Based Administration

Q-Site administration, maintenance and supply inventory lead for the department.

Create new CDM (Charge Master Distribution).

Order, inventory and distribute supplies, forms, medical equipment as necessary.

Provide general office support including copying, organizing and distributing documents.

Be prepared to accomplish special projects as needed involving information and paperwork.

Attend monthly Administrative Assistant meetings.

Operate standard office automation devices such as fax, scanner, printer and copier including responsibility for basic maintenance tasks such as replacing toner and paper as well as contacting the vendor for service.

Maintain process and documentation for radiation badges.

Attend weekly ESRD meetings, complete meeting minutes and generate all 2728 forms for new ESRD patients for Medicare disability.

Attend monthly CRRT meetings to take minutes. Prepare CRRT class binders.

Monitor MLearning to ensure staff compliance with institutional and unit based mandatories.

Distribute "Making a Difference" awards to staff and keep database for awards.

Assist Leadership with Financial Management

Participate in cost quotations from vendors.

Purchase program expenditures such as computers, equipment and medical supplies under the direction of the Nurse Manager.

Obtain Purchase Orders online and review expenses as needed with Nurse Manager.

Maintain PO and supply order records.

Responsible for purchasing supplies via Marketsite, Procurement Services.

Assist Leadership with Clinical Management

Participate in cost quotations from vendors.

Attend meetings to represent the unit and to provide support and maintain minutes and agendas.

Purchase program expenditures such as computers, equipment and medical supplies under the direction of the Nurse Manager.

Assist with CQI data collection.

Participate in unit committees.

Develop and maintain email group addresses.

Train and mentor new unit clerks and students.

Willingness to assist others with tasks at various times.

Provide secretarial support to leadership team.

Assist with complex calendar management for leadership team.

Back up for timekeeping.

Back up for personnel management.

Confidentiality

Maintain patient confidentiality.

Maintain confidentiality around performance and personal issues that arise for staff.

Other duties as assigned.

Required Qualifications*

Demonstrated success with detailed record keeping and paperwork organization.

Demonstrated ability to prioritize work and work collaboratively in a group involving multiple reporting relationships.

Demonstrated ability to learn and use effectively many different software and web-based computer applications.

Excellent typing skills.

Excellent communication skills, both verbal and written.

Ability to prioritize work assignments and to work collaboratively in a decentralized organization involving multiple reporting relationships.

Ability to communicate effectively with other units.

Three years experience performing general office duties including payroll/personnel transactions.

Ability to work independently, and regularly exercise judgment in setting priorities and in the application of policies and procedures.

Demonstrate positive work ethic and strong sense of teamwork/problem solving with co-workers.

Utilize discretion and appropriate judgment regarding sensitive and/or confidential matters.

Desired Qualifications*

Previous knowledge of University policies and procedures.

Previous experience using Microsoft Excel, Word and PowerPoint, Publisher, Adobe, Dream weaver, Wolverine Access, Seibel, M-Learning and M-Pathways.

Previous experience using One Staff (formally ANSOS).
